Job Purpose:

This position is responsible for overseeing the onboarding of all new retirement plans and providing ongoing, day-to-day operational support to Retirement Plan Services (RPS) Relationship Managers. Will work with third-party recordkeeping, assigned Relationship Manager and Financial Advisor to ensure onboarding of plans remains on track and staff stays informed. Will support Relationship Mangers with various workflow items, monitor deadlines, report delinquent items, and oversee daily activity and processing.

Job Duties:

  • On-Boarding
    • Coordinate with Financial Advisor to facilitate the successful onboarding of all retirement plans.
    • Prepare fund change letters semi-annually or as requested.
    • Support and track the distribution and completion of annual participate notices.
    • Provide backup support to Relationship Managers as needed to ensure continuity of service and client satisfaction
  • Relationship Manger support:
    • Will process manual payrolls.
    • Provide assistance with manual data entry for Balanced Forward plans and Union accounts.
    • Conduct annual fee tier review and document findings.
    • Responsible for balancing and reconciling the interface for plans in PEBO custody.
    • Collaborate with plan sponsors to obtain approvals for participant distributions and loans requests.
  • Oversight:
    • Review daily vendor reports to ensure timely and accurate plan administration, with a focus on:
    • Outstanding requests and deadlines
    • Distribution processing deadlines
    • Delinquent payroll submissions.
    • Account reconciliations
  • Will perform special projects as assigned.

Education, Experience and Job Skills:

  • Associate's degree in business and/or five years of experience working in a financial services or accounting environment.
  • Bachelor's degree preferred.
  • Advanced Word, Excel, PowerPoint software and experience at adapting those to specific support needs is required.
  • Must consistently produce work with a very high degree of accuracy.
  • Demonstrates flexibility in adapting to shifting priorities and effectively managing multiple projects simultaneously.
  • Resourceful in identifying information and solutions, with the ability to anticipate next steps and proactively address potential issues.
  • Must possess strong interpersonal, and communication skills, especially over the telephone.
  • Must be able to maintain positive experience for clients, and associates, regardless of workload.
  • Self-motivated individual with effective office administration skills
  • Maintain basic knowledge of retirement plan technical, legal, and regulatory topics.
  • Team player.

Basis Qualifications:

  • Associate's degree in business and/or five years of experience working in a financial services or accounting environment.
  • Advanced Word, Excel, PowerPoint software experience and the ability to adapt those skills to specific support needs required.
