Summary:
The Administrative Coordinator will play a key role as part of the Outpatient Psychiatry Call Center Team, performing a variety of administrative functions. Under the supervision of the Call Center Team (CCT) Supervisor, this role will primarily focus on handling incoming calls from new patients requesting appointments and information, managing and maintaining referral work queues, facilitating advanced referral management, assisting with special projects and contributing to department workflow improvements as needed.

Work Schedule:

Monday- Friday, 8:00 AM to 4:30 PM. This is a hybrid position; however, on-site presence may be required based on department and patient needs.

Responsibilities:
1. Collaborate with the supervisor in the development and management of scheduling utilization, ensuring efficiency in appointment scheduling.

2. Assist in establishing and monitoring fiscal goals and objectives to support departmental financial performance and resource optimization.

3. Enhance patient access by maintaining scheduling workflows, minimizing wait times, and ensuring timely appointment availability.

4. Serves as a resource for management and employees in the interpretation and application of a variety of policies and procedures. Refines, develops, implements, and communicates departmental and health care system policies and procedures to employees. Investigates and resolves matters regarding specific operating problems.

Education Requirements:
* High School diploma or GED
Licensure/Certification Requirements:
* No licensure or certification required.
Professional Experience Requirements:
* Three (3) years of clerical or administrative experience.
* If Bachelor's degree, one (1) year of clerical or administrative experience.
* If Associate's degree, two (2) years of clerical or administrative experience.
Knowledge/Skills/and Abilities Requirements:

*Excellent verbal and written communication skills, with a professional and courteous manner in all interactions.

*Strong organizational skills and attention to detail, with the ability to manage multiple tasks, prioritize effectively, and meet deadlines.

*Demonstrate proficiency with computer systems, including Microsoft Office Suite (Word, Excel, Outlook), and the ability to quickly learn new scheduling and electronic health record systems.

*Ability to work both independently and collaboratively as part of a team.

*Customer service orientation, with the ability to address patient and team needs promptly and efficiently.

*Strong problem-solving skills and the ability to adapt to changing priorities and department needs.

*Commitment to maintaining patient confidentiality and complying with HIPAA and other relevant policies.

*Willingness to participate in ongoing quality improvement activities and training as needed.
