The UC Irvine Student Health Center is a comprehensive outpatient clinic staffed with licensed primary care physicians, psychiatrists, licensed clinical social workers, dentists, physician assistants, registered nurse practitioners, and registered nurses. Medical specialists from various disciplines including dermatology, orthopedics/sports medicine, gynecology, internal medicine, and ENT provide on-site consultation on a regular basis. Student Health also offers basic radiology and clinical laboratory services, insurance consultation, and an on-site pharmacy, making SHC a comprehensive and convenient clinic dedicated to serving students.


Your Role on the Team

Under general supervision, the incumbent provides oversight of and responsibility for the smooth running of the Office of the Executive Director. Responsible for administrative, programmatic, and high level analytical support to the Executive Director for Student Health and its Executive Team. The incumbent will independently prioritize and schedule appointments, make travel arrangements meeting (University and non-University) primarily for the Executive Director, but will also provide such support for the Medical Director and other members of the SHC Executive Management Team. Responsible for responding to correspondence, high level inquiries, and high level interaction on behalf of the Office of the Executive Director, while interacting with and representing the office to key stake holders such as university officials, students, the public, and individuals from UCOP. In short, the Office Manager is responsible for office and business management, executive support, special project and analysis associated with the Office of the Executive Director.


What It Takes to be Successful

Required:

  • Minimum 3-5 years' experience working and managing in high demand administrative office, with BA/BS or equivalent combination of education and experience. Demonstrated ability to initiative improvements in operations based on independent analysis and problem solving. Demonstrated experience in essential functions as outlined above. High level experience with Microsoft software products but not limited to Outlook, Excel, Word, Access, PowerPoint. Team player with outstanding ability to work with various levels of the organization. Excellent organization skills and detail orientation. Ability to organize and prioritize workload to meet deadlines and to manage multiple priorities. Excellent verbal and written communication and interpersonal skills. Ability to establish and maintain effective working relationships with all levels of campus administration, faculty, staff, and the public. Ability to maintain strict confidentiality of student and employee information and to act and interact on sensitive issues with tact and diplomacy. Ability to make independent judgments and decisions about office procedures and policies to effectively apply to individual and specific situations. Proven ability to work independently and to be self-starter.
  • BA/BS or equivalent combination of education and experience.
  • 3-5 years Experience working and managing in high demand administrative office

Preferred:

  • 5-7 years demonstrated experience in organizing multiple, high level projects and setting priorities to meet deadlines. Experience working within the University of California Irvine for at least one year. Experience with Kuali Financial System for online payments and PAL Card purchasing.

Special Conditions:

  • This position's schedule is M-F and during traditional work hours, however, weekend or non-traditional work hours may be required for special projects or busy times of the year, or when strict deadlines must be met. In the case of extended hours, this position may be required to work those hours. Employment in this position is contingent upon successful completion of a Department of Justice (DOJ) Live Scan background check, verification and continued monitoring of licensure as it applies to the position, and successful completion of our background review or credentialing process, as appropriate to the position. The employee must comply with OSHA, CA/OSHA, and CDC recommendations and requirements regarding vaccination and testing of healthcare employees. This includes, but may not be limited to; current hepatitis B immunizations, annual flu vaccinations, and annual tuberculosis screening. The employee must comply with CDPH and UC COVID-19 Vaccine Policy, by providing proof of Full Vaccination or submitting a request for Exception. Per the UC Ethics Briefing, the employee is responsible for reporting any and all potential conflicts of interest to their supervisor in a timely manner.

The expected pay range for this recruitment is $31.72- $39.73 (Hourly).
