Temple University's Lewis Katz School of Medicine is searching for an Administrative Specialist / Receptionist within the Dean's Office.
Position Summary
As the Administrative Coordinator, you will provide comprehensive administrative support to ensure the smooth operation of the Dean's Office. This role combines front-facing receptionist responsibilities with high-level administrative support for the Dean and the Associate Vice Dean for Strategic Initiatives and/or other executives as assigned. You will manage schedules, coordinate meetings, handle correspondence, maintain filing systems, and assist with special projects.
In the absence of the Executive Assistant (EA), you will serve as the primary point of contact and administrative backup for the Dean of the Medical School, ensuring continuity, professionalism, and efficiency in all administrative functions.
You will maintain a welcoming and professional receptionist area in the Dean's Suite and provide day-to-day support for the administrative operations of the Dean's Office. This position requires frequent interaction with a wide range of University and Health System stakeholders, and the handling of confidential information. You will also play a key role in supporting strategic planning initiatives.
Required Education and Experience
Bachelor's degree and at least one year of directly related experience. An equivalent combination of education and experience may be considered.
Required Skills and Abilities
*Proven experience in an administrative or support role, preferably in an academic or professional setting.
*Excellent organizational and time-management skills, with the ability to juggle multiple projects and drive toward deadlines.
*Strong written and verbal communication abilities.
*Proficiency in Microsoft Office Suite (Outlook, Teams, Word, Excel, PowerPoint) and other relevant software applications and video conferencing platforms. (e.g. Zoom)
*Ability to handle sensitive information with discretion and maintain confidentiality.
*Strong interpersonal skills and the ability to work effectively with diverse stakeholders.
*Willingness and ability to work extended hours, including some weekends.
*Ability to thrive in a fast-paced environment.
*Superior attention to detail and strong customer-service orientation.
*Maturity, professionalism, poise, and excellent judgment.

Salary Range: Grade: T25 - $48,000-$54,000
