EXCITED TO GROW YOUR CAREER? WE'RE GLAD YOU'RE HERE! The Meeting Event Manager II serves as the primary client liaison and operational lead for assigned programs and events. This role is responsible for the end-to-end planning, coordination, and execution of events, ensuring a seamless experience from initial concept through onsite delivery. Acting as both a strategic partner and team leader, this position drives all aspects of event logistics while maintaining the highest standards of customer service. In addition to program management, the role oversees comprehensive budget ownership-including forecasting, tracking, and managing variations-to ensure successful financial outcomes for both the client and the business.

40% - Program & Event Management - Leads the planning and execution of assigned programs and events by outlining deliverables, developing comprehensive project timelines and budgets, and managing all logistical elements.

  • Oversees supplier relationships and contracts across hotel, AV, general service contractors, DMC, air travel, and other third-party vendors.

  • Ensures adherence to attrition dates, cancellation policies, and contracted service agreements.

  • Coordinates and attends site inspections to confirm program logistics.

  • Partners with client and internal stakeholders through working sessions to align on needs, expectations, business rules, and objectives.

  • Communicates client vision clearly to internal teams to ensure seamless execution.

20% - Financial Oversight & Supplier Management - Manages all financial aspects of assigned programs, ensuring accuracy and profitability.

  • Tracks project expenses and provides regular financial updates and forecasts.

  • Oversees supplier negotiations, contract terms, and service agreements through RFPs and bid analyses.

  • Initiates supplier payments, client invoices, and project change orders.

  • Partners with accounting for final billing and ensures all changes are tracked and reported.

  • Ensures programs are delivered within budget and meet targeted profitability margins.

20% - Client Relationship & Team Leadership - Serves as the primary day-to-day contact for the client, fostering a positive and collaborative relationship.

  • Works closely with clients to ensure all program objectives are understood and achieved.

  • Leads cross-functional project teams throughout development, production, and QA.

  • Authors and maintains project documentation and event specifications.

  • Conducts regular client and stakeholder status meetings from planning through execution.

  • Provides clear direction to the team, ensuring alignment on goals and deliverables.

20% - Onsite Program Execution & Strategic Support - Provides hands-on leadership during event execution to ensure a flawless experience.

  • Oversees onsite logistics, resolves issues in real time, and manages client and team expectations.

  • Leads the onsite team and third-party partners to maintain service excellence.

  • Manages VIP logistics and high-touch experiences, ensuring attention to detail.

  • Supports proposal development and program renewals with strategic input.

  • Leverages destination and hotel expertise to enhance program design.

  • Develops initial budgets for new and renewal business and executes program agreements.

Qualifications

  • Bachelor degree or equivalent experience required.

  • Minimum 3+ years of experience in meeting/event planning (including incentives, association, corporation) or hotel catering, convention, sales experience required. International hotel destination knowledge a plus.

  • Strong knowledge of program/event management and budget maintenance. Exposure to project planning/forecasting financial implications.

  • Prior successful experience in developing and maintaining key client relationships.

  • Professional oral presentation and writing skills required.

  • Prior experience in effectively handling multiple projects/demands.

  • Excellent computer skills, knowledge of Microsoft Office tools & ability to learn new technology quickly.

  • Ability to travel 30% of time required.
