GWSB Undergraduate Programs office is searching for a Student Support Specialist. This individual is a key contributor to developing forward-thinking and inclusive business leaders, a core aspiration of the Undergraduate Programs office.
The purpose of the
GWSB Undergraduate Programs office is to educate and empower students throughout their academic journey by focusing on holistic student development and prioritizing student learning in academic advising, the Business Leader Development (
BLD) Program, and co-curricular learning initiatives with a core aspiration of developing forward-thinking and inclusive business leaders.
The Student Services Specialist position typically serves as the main point of contact for service and support to students, faculty, and staff. The role assists with various administrative inquiries, referrals, and procedures, including registrations, grade appeals, petitions, student records maintenance, transfer credit reviews, account questions, admissions, and other registration-related actions. Additionally, this position acts as a valuable resource for students, faculty, and staff, directing requests to the appropriate departments and assisting in determining eligibility for graduation.
Reporting to the Director, Academic Advising for Undergraduate Programs, this role does not include direct reports.
The key responsibilities are:
Provide academic advising support to students throughout their studies, from orientation to graduation, using various communication methods. Guide and support students in understanding academic policies, procedures, and requirements, clarifying regulations, deadlines, and protocols to facilitate compliance and academic success. Provide referrals to appropriate campus resources as needed. Serve as the first point of contact, checking in students for meetings with Undergraduate Programs staff and providing guidance on available resources, while also administering virtual drop-in advising twice a week. Review and make decisions on petitions, notify students of outcomes, submit petitions into DegreeMAPs, and escalate decisions when necessary. Evaluate and process academic forms such as major, minor, and concentration declarations, transfer credit approvals, course substitutions, policy exceptions, registration transactions, and leave of absence requests. This may also include determining eligibility and writing support letters for students pursuing Curricular Practical Training (CPT) and Optional Practical Training (OPT). Manage the central email accounts for the Undergraduate Programs office, ensuring timely and accurate responses to inquiries. Ensure systematic documentation and follow-up within GW Documents. Facilitate the registration process for selected Business Leader Development (BLD) Program courses. Serve on committees and assist with programming as needed (e.g., New Student Orientation, GW Professional Academic Advising Networks, Admissions Panels, GWSB Commencement Committees, Scholarship Committees, Student Leadership Awards Committee) or other assignments as requested by the Vice Dean or Executive Director. Retrieve and analyze data from GW systems (such as Banner, GW Tableau) and prepare reports as needed. Approve timecards for student employees, ensuring accurate reporting and timely submission in accordance with institutional payroll procedures. Assist with office operations and compliance management, including onboarding logistics, records compliance, technology and facility requests, inventory management, and safety procedures
Performs other related duties as assigned, including providing cross-team training and learning/performing backup tasks for finance team members when needed. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position. |
Minimum Qualifications: |
Qualified candidates will hold a high school diploma/
GED plus 3 years of relevant professional experience, or, a Bachelor's degree or higher in a relevant area of study. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience. |

Preferred Qualifications: |
High preferences will be given to candidates who hold a bachelor's degree or higher in a relevant field of study and experience in an academic setting, particularly in disseminating academic information and reviewing/evaluating student records. This position is well-suited for someone interested in entering academic advising as a profession.
The candidate should possess sound counseling techniques, along with sensitivity and discretion, to effectively advise students from diverse social, cultural, economic, and educational backgrounds in resolving issues.
Highly Preferred skills and abilities include:
- Demonstrated ability to make sound decisions and judgments when analyzing and evaluating student data and academic records.
- Ability to interpret, recommend, and implement academic policies, procedures, and regulations related to academic advising.
- Strong interpersonal and organizational skills.
- Ability to multitask under tight deadlines and maintain attention to detail in a fast-paced environment.
- Discretion and the ability to maintain confidentiality.
- Experience working independently under general supervision in a high-volume, fast-paced, team-oriented environment.
- Proven ability to exercise good judgment and initiative in fulfilling responsibilities in a higher education setting.
- Knowledge, skills, and experience in effective academic advising techniques, with the ability to assess student needs and support informed decision-making.
