Our Opportunity

We are currently seeking an Operations Assistant for our Menlo Park, CA office. In this role, you will work as part of an Operations/Facilities team. You will be responsible for performing a wide variety of diverse, non-routine tasks and will provide high-level support to our professional consultants and corporate staff.

The ideal candidate should be eager to learn, detail-oriented, have strong customer service skills, work well with others, and have a proactive, can-do, will-do attitude.



You will be responsible for

  • Handling day-to-day vendor relationships and activities with interior signage, vending, dry cleaning, lounge services, office supplies, and interior landscaping vendors
  • Coordinating company store merchandise, fulfillment, and billing
  • Coordinating new hire/transfer offices
  • Assisting with new hires' onboarding: setting up travel and office supply accounts for domestic offices
  • Collecting badges, keys, and assisting with project locker notifications for departures in the Menlo Park office
  • Handling lobby services back-up during high-volume periods
  • Assisting with corporate events, including conference room scheduling
  • Performing California Notary Public services
  • Maintaining authorized company vehicle drivers' information (domestic offices)
  • Assuming corporate travel responsibilities, which include new account activations, employee separations, and hotel/flight comparisons
  • Managing security badging requests for Exponent and current building tenants
  • Preparing and distributing headcounter kits and AED drill team packs
  • Reviewing new tenant contacts on building evacuation drill procedures and conducting semi-annual refresher training with tenant headcounters
  • Ordering nameplates & signage for domestic offices
  • Managing corporate stationery and business card orders in accordance with company standards
  • Ordering security badging supplies
  • Sorting mailing for Company addressee/unknown
  • Maintaining project locker oversight - badge access, managing unlocks, removing inactive materials
  • Updating the departmental emergency contact list
  • Handling a variety of day-to-day duties in support of the Facilities Director, Operations Manager, and Facilities Manager
  • Supporting petty cash disbursement, reconciliation
  • Maintaining departmental intranet content
  • Ordering refreshments for corporate events
  • Auditing nametags, files, reports, etc.
  • Issuing lost & found notices


You will have the following skills and qualifications

  • Minimum 7 years' experience providing customer service support
  • High level of attention to detail and the ability to manage several tasks simultaneously
  • Previous experience in lobby services
  • Working experience with Microsoft Office, including Word, Excel, PowerPoint, Outlook, and Teams
  • Experience working in a professional services firm or law firm is a plus
  • Committed to quality work product both for independent tasks and team projects
  • Demonstrated self-starter who is dependable and shows initiative
  • Motivated and committed to learning new systems, processes, and skills
  • Ability to multi-task, work under critical time deadlines, re-evaluate priorities, and interact with all levels of professional staff
  • Exposure to sensitive information will necessitate considerable use of tact, diplomacy, discretion, and judgment
  • Being a California Notary Public is preferred
  • Must be able to lift, push, and pull a minimum of 20 lbs.

Compensation

The pay rate for this position is dependent on experience and capabilities which will be assessed during the interview process.



Salary Range

USD $55,000.00 - USD $70,000.00 /Yr.
