Description

The Executive Assistant reports directly to the President, Engineering Services and provides administrative support to the President, CTO and VP HR. The Executive Assistant serves as the primary point of contact for internal and external customers on all matters pertaining to the executive office. This position will manage the President's and VP of HR's calendars, travel, expense reports, coordinates meetings, and packet development.

WHAT YOU WILL DO:



  • Provides high-level administrative support and assistance to senior executives including daily interactions with C Level executives and Board of Director members.
  • Perform sundry administrative tasks for senior leaders to include account and policy set-up, administrative errands, coordinating calendars and meetings.
  • Assist in the corporate filing, registration, and other company records.
  • Arranges travel and accommodations for executives.
  • Schedules and attends meetings on behalf of executives, taking notes and recording minutes.
  • Receives incoming communication or memos on behalf of senior staff, reviews content, determines importance, and summarizes and/or distributes contents to appropriate staff.
  • Performs additional duties as assigned by executives.



ABOUT YOU:



  • Bachelor's degree in Business Administration or related field preferred.
  • At least five (5) years of related experience required.
  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software (including MS Word, MS Excel and MS PowerPoint).



KNOWLEDGE SKILLS ABILITIES AND OTHER CONTRIBUTIONS:



  • Ability to function well in a high-paced environment.
  • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
  • Data collection/analytical research experience are a plus.
