Job Summary

The Herbert Wertheim College of Medicine is currently seeking an Assistant Director of Admissions to join our team of professional.

Duties

  • Oversees the admissions process for the Master in Physician Assistant Studies (MPAS) program, including the scheduling of interviews and applicant communication. Serves as the liaison between prospective students and university departments, providing guidance and mentorship throughout the admissions process.
  • Reviews and evaluates applications submitted through the Centralized Application Service for Physician Assistants (CASPA). Maintains interview documentation and creates admission records for accepted students, including all pre-matriculation materials.
  • Prepares admissions reports by gathering, analyzing, and summarizing data and trends to support informed decision-making by MPAS leadership.
  • Develops recruitment strategies focused on attracting and engaging prospective applicants. Collaborates with the Herbert Wertheim College of Medicine (HWCOM) marketing team to develop promotional materials.
  • Develops, implements, and participates in recruitment events, including monthly information sessions, campus tours, and college fairs. Conducts special presentations for Pre-PA and Pre-Health organizations, as requested. Drives to FIU campuses and travels, as needed.
  • Conducts and records prerequisite equivalency reviews. Maintains MPAS repository with updated course descriptions and syllabi.
  • Manages student inquiries related to student support services available at FIU. Provides detailed guidance to students on complex issues involving institutional policies, procedures, and state/federal regulations.
  • Collaborates with the University Graduate School, Office of Financial Aid, Pre-Health Advising, and external vendors (e.g., CASPA, Exam Master PA-CAT) to ensure effective admissions and matriculation processes.
  • Validates all matriculated and enrolled student immunization credentials. Communicates with prospective and enrolled students regarding deficiencies in compliance requirements, in collaboration with HWCOMs Director of Compliance and the MPAS Clinical Team
  • Leads the planning and coordination of departmental initiatives and student engagement activities, to include: Meet and Greet events, Orientation, White Coat Ceremony, Awards and Graduation Ceremony, and alumni socials.
  • Develops student policies and matriculation procedures for the MPAS Student Handbook, ensuring compliance with the rules and regulations set forth by FIU, HWCOM, ARC-PA, the State and Federal government. Updates admissions policies and deadlines on the programs webpage.
  • Facilitates and processes graduate verification forms required for physician assistant licensure in collaboration with HWCOMs Registrar. Maintains accurate records on file.
  • Responsible for student matriculation, course creation, and registration in PantherSoft (PS).
  • Plans and coordinates meetings for the Admissions Committee (AC) and Student Evaluation and Progress Committee (SEPC). Prepares meeting materials as directed by the Committee Chair(s) and maintains records, including minutes and student correspondence.
  • Coordinates the maintenance and permanent security of each matriculated MPAS students official academic record including official documents pertaining to student promotion, disciplinary actions, leaves of absence, withdrawals, and other changes in student status. Monitors and updates Panther Degree Audit (PDA) for each student.
  • Maintains the Student Affairs course shell on CanvasMed and manages the programs social media accounts. Provides students and alumni with routine updates on programmatic events and job opportunities. Collaborates with HWCOMs Assistant Director of Alumni Relations to strengthen alumni engagement and cultivate long-term affinity with the program.
  • Manages the MPAS department email account and triages incoming phone calls from the departments main line.
  • Serves as an active member of the Admissions and Accreditation committees.
  • Performs other duties as assigned or directed by the supervisor. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related.
Minimum Qualifications

Bachelor's and six (6) years of related experience OR Master's degree and four (4) years of related experience OR a JD and two (2) years of experience.

Desired Qualifications

Knowledge of College organization: admission, registration, academic regulations, programs of
study and departmental regulations.

Knowledge of College activities and special programs, college regulations, testing, counseling and advisement services.

Ability to write routine reports and correspondence.

Ability to speak effectively before groups of customers or employees of organization.

Ability to maintain effective interpersonal relations with students, faculty and administration.
