Position Summary

The Facilities Administrative Assistant provides essential administrative and clerical support to the Facilities Management team. This role is crucial for ensuring smooth daily operations, maintaining organized records, and facilitating effective communication within the department and with internal and external customers. The ideal candidate is highly organized, detail-oriented, and possesses excellent communication and interpersonal skills.

Responsibilities:

Administrative Support:

  • Provide general administrative support to the Facilities Manager and team, including scheduling appointments, managing calendars, and preparing reports.

  • Answer and direct phone calls, emails, and inquiries in a professional and timely manner.

  • Prepare and distribute memos, letters, and other correspondence.

  • Maintain and organize physical and electronic filing systems.

  • Process incoming and outgoing mail and packages.

  • Coordinate and schedule meetings, including booking conference rooms and arranging catering.

  • Facilities Coordination:

  • Assist in coordinating maintenance and repair requests, and track work orders.

  • Maintain records of facility-related documentation, such as contracts, permits, and maintenance logs.

  • Assist in ordering and maintaining inventory of office and facilities supplies.

  • Coordinate with vendors and contractors for facility-related services.

  • Assist in the preparation of purchase orders and process invoices.

  • Help with the scheduling of facility inspections.

Communication and Customer Service:

  • Serve as a primary point of contact for internal and external inquiries related to facilities.

  • Provide excellent customer service to employees and visitors.

  • Communicate effectively with all levels of the organization.

  • Relay messages between vendors, and facility team members.

  • Data Entry and Record Keeping:

  • Accurately enter and maintain data in various databases and spreadsheets.

  • Generate and distribute reports as needed.

  • Ensure all records are organized and up-to-date to include floor plan updates, seating assignments, name plates, and facilities work orders.

  • Other Duties:

  • Perform other related duties as assigned by the Facilities Manager.

  • Assist with special projects as needed.

Qualifications

Qualifications:

  • High school diploma or equivalent required; associate or bachelor's degree preferred.

  • Minimum of 2 years of administrative or secretarial experience, preferably in a facilities or related environment.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

  • Excellent organizational and time-management skills.

  • Strong written and verbal communication skills.

  • Ability to prioritize tasks and work independently.

  • Detail-oriented with a high level of accuracy.

  • Ability to maintain confidentiality.

  • Strong customer service skills.

Preferred Qualifications:

  • Experience with facilities management software.

  • Knowledge of basic facilities maintenance procedures.
