Ameresco is seeking a highly motivated Administrative Assistant to support our Federal Operations & Maintenance (O&M) Team at JBPHH/Schofield Barracks, HI. This role is essential in supporting daily operations, coordinating service activities, and ensuring accurate and timely reporting across multiple projects. The ideal candidate will be detail-oriented, proactive, and capable of managing multiple priorities in a dynamic service environment.

Key Responsibilities:

  • Operational Support: Assist the O&M team in executing daily service tasks and work orders; Collaborate with the Project Coordinator to monitor project statuses and address delays or operational issues with management: Attend and document weekly meetings.

  • Scheduling & Coordination: Issue daily service orders to O&M staff and log incoming customer service calls; Maintain organized service records and documentation within the facility CMMS system; Support the Project Coordinator and Manager in maintaining effective relationships with customers, subcontractors, and vendors across multiple projects; Assist in preparing and maintaining facility schedules and technician assignments; Coordinate service activities to ensure timely completion and customer satisfaction.

  • Reporting & Documentation: Prepare and submit monthly, quarterly, and annual reports on service performance, project metrics, and operational trends; Track and analyze service data to support continuous improvement and compliance with performance guarantees.

  • Administrative Duties: Perform general administrative tasks including document preparation, data entry, and file management; Perform other duties as required to ensure project and team success.

  • Other duties as assigned.

Minimum Qualifications:

  • High School diploma or equivalent.

  • Minimum of five (5) years of administrative support experience in a service or facilities environment.

Additional Qualifications:

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Familiarity with MS Access and photo/editing software is a plus.

  • Experience with Computerized Maintenance Management Systems (CMMS)

  • Strong organizational and multitasking skills with the ability to meet deadlines.

  • Excellent verbal, written, and interpersonal communication skills.

  • Ability to review confidential US Security Information.
