SUMMARY
The Agency Operations Coordinator is responsible for managing the third-party vendor bidding and engagement process in compliance with Agency guidelines. This role ensures timely and cost-effective procurement of third-party reports, maintains transparent communication across internal teams, and upholds accurate documentation for audit and compliance purposes.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Build and maintain vendor relationships, monitoring quality and addressing service issues proactively
  • Provide general assistance to the Agency (Fannie Mae) underwriting team
  • Oversee the vendor bidding process, review bid requests, collect and evaluate vendor bids, and coordinate final vendor selection with internal partners
  • Initiate third-party engagements, provide clear deliverable instructions, and maintain open communication with vendors and internal stakeholders
  • Maintain accurate tracking systems for all bids and third-party deadlines; ensure up-to-date pricing and status information is accessible
  • Assist in the coordination of site inspections
  • Collect and process vendor invoices
  • Process and track all credit check requests required by Fannie Mae
  • Monitor industry best practices and identify operational improvements
  • Order credit reports and complete Agency compliance searches.
  • Other duties as assigned by management.

REQUIRED EDUCATION AND EXPERIENCE

  • 1+ year of operational support experience
  • Commercial (B2B) financial services experience preferred, though not required
  • Intermediate Microsoft office skills, primarily in Word and Excel
  • Excellent verbal, written and interpersonal communication skills, in order to effectively communicate with loan originators, brokers, attorneys, third party vendors, city authorities, underwriters, team members, and others as needed
  • Strong organizational skills, including the ability to manage multiple competing priorities at once
  • Focus on delivering quality service to internal stakeholders and external vendors alike
  • Able to work independently and with a team
  • Able to use sound analytical and judgment skills as it relates to the position
  • General familiarity with Commercial Real Estate (CRE) lending ideal, but not a requirement

COMPENSATION

Pursuant to the laws regarding job postings where the position is located in, Colliers is disclosing the following information:

Area/Location Specific: Minneapolis, MN

Approximate Salary Range for this Role: $50,000 - $65,000 per year

Our compensation ranges are determined by role, level, and location. The range displayed on this job posting reflects the minimum and maximum target for new hire salaries for the position across all US locations. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training.
