Reporting to the Vice President & Controller, the Administrative Assistant is responsible for delivering accurate, timely, and efficient administrative support to the VP and Controller, and other aligned functional leaders. This role requires a strong understanding of organizational policies and procedures, and demands a high level of professionalism, discretion, and ethical conduct. Exceptional communication skills and a commitment to confidentiality are essential for success in this position.

What You'll Do

Note: Scope II includes all responsibilities from Scope I, plus additional Scope II tasks.

Scope 1 - Grade 5/6

  • Provide administrative support, including handling confidential tasks.
  • Collaborate closely with managers to meet time-sensitive deadlines.
  • Prepare reports and documents using Microsoft Excel and Word.
  • Serve as liaison with internal departments and leadership.
  • Manage calendars and independently schedules appointments and meetings.
  • Plan and coordinate internal and external meetings, events, and conferences.
  • Draft and edit correspondence as requested.
  • Maintain and organize document retention systems.
  • Communicates with external vendors.
  • Assist with purchasing requisitions and goods receipt processes.
  • Order supplies using a corporate credit card and Payment.Net.
  • Facilitate onboarding and employee transitions, including office space, phone, and network access.
  • Receive, screen, and route incoming calls, visitors, and mail; determine appropriate handling.
  • Process overnight shipments through a web-based system.
  • Provide back-up support to other Senior Administrative Assistants.
  • Participate in process improvement activities.

Qualifications

  • High school diploma or equivalent required; associate or bachelor's degree in business administration, office management, communications or relevant major preferred.
  • 5+ years related administrative experience and/or trainingis preferred.
