About the Job

The University of Minnesota's Earl E. Bakken Center for Spirituality & Healing seeks a full-time (100%) Student Services Specialist.

This dynamic role is responsible for providing administrative support in the Center's Student Services and Academic Programs area. This individual is the first point of contact for current and prospective students on a variety of topics, from course registration to degree program requirements to admissions processes, and serves as an essential resource and support guide for a diverse community of students and faculty.

This position reports to the Student Services and Academic Programs Coordinator and collaborates with the Director of Education and Director of Integrative Health and Wellbeing Coaching Programs on varied aspects of academic program administration. This individual is an integral member of a team dedicated to providing high-quality service to support student and faculty wellbeing and success.

Key Responsibilities:

Administrative and student/program support (60%)

  • Serve as the first point of contact for information about the Bakken Center's graduate programs, including the Master of Arts in Integrative Health and Wellbeing Coaching; the Certificate in Integrative Therapies and Healing Practices (including Health Coaching track); and the Minor in Integrative Therapies and Healing Practices.
    • Serve as a key resource for prospective and new students.
    • Respond to a variety of student inquiries, and deliver accurate and detailed responses via phone, zoom, email, and in person.
    • Keep ongoing tracking records of inquiries and prospective program applicants.
  • Support the Student Services and Academic Programs Coordinator, the Director of Education, and the Director of Integrative Health and Wellbeing Coaching Programs in administrative duties related to the Center's academic courses and graduate programs.
    • Schedule, prepare resources, and participate in online information sessions for the Integrative Health and Wellbeing Coaching Program.
    • Represent the Center's academic programs at career fairs and other campus events.
    • Coordinate logistics of scheduling, agenda preparation, information gathering, and minutes recording for a variety of meetings, including the graduate and teaching faculty, health coaching operations, admissions committee, scholarship committee, and academic programs, among others.
    • Guide prospective students through the application process and track application progress in the Graduate School's online application system.
    • Use discretion in managing confidential student data and records, following the University's policies and best practices.
    • Coordinate the Academics Team and Learning Resources Group in implementing annual updates to the student handbooks.
    • Schedule and prepare materials for student orientations, meetings, events, and onsite intensive class sessions.
    • Support the Director of Education with administrative tasks for the Bakken Center Student Advisory & Leadership Council (SALC), which includes hosting meetings online and in person.
    • Assist with recruitment, promotion, marketing efforts, and ongoing website updates for academic programs and courses.
    • Collaborate with the communications team on the Center's monthly student newsletter.
    • Collaborate with the communications team to administer student and alumni surveys.
    • Participate on the planning team for the combined Bakken Center and School of Nursing commencement ceremony.
  • Provide a full range of student support services for current and prospective students enrolling in the Bakken Center's 70+ academic courses.
    • Guide students through the registration process, issue course permission numbers, monitor waitlists, and provide detailed information about CSPH courses.
    • Direct students to appropriate University resources and services (such as Onestop, Technology Help, Financial Aid, Student Veteran Services, Graduate Student Services and Progress, Student Counseling Services, etc.).
    • Assist with the research and resolution of common student issues related to student records, registration, and taking academic courses, while referring more complex issues to the appropriate Bakken Center staff or other University services.

Class Scheduling and Faculty Course Support (30%)

  • Gather class details from faculty to schedule courses in the Collaborate Course Schedule (CCS) in Peoplesoft for all academic terms, including appropriate course sessions, modalities, meeting times, proxies, enrollment limits, and instructors/TAs.
    • Maintain a master spreadsheet to track related course scheduling details on an ongoing basis and compare to the class schedule regularly to confirm accuracy in course entry.
    • Schedule classrooms in the University's 25Live classroom management system.
    • Consult with the Office of Classroom Management (OCM) to make course updates that require their oversight.
  • Provide logistical support for instructors teaching CSPH academic courses.
    • Schedule onboarding sessions for the Academics Team and Learning Resources Group to orient new instructors for the Center's academic courses.
    • Collaborate with the Learning Resources Group in sending communications to faculty with important academic updates, reminders, and due dates.
    • Provide technology and equipment support for in person academic class meetings in the Center's mediation space and other campus classrooms.
    • Support faculty in processes for ordering textbooks and setting up course materials in the Library reserves.
    • Assist faculty with preparing class materials (photocopies, printing, supplies, etc.).
    • Coordinate the Academics Team and Learning Resources Group in implementing annual updates to the faculty handbook.
    • Assist with administrative tasks related to the Center's travel courses.

Special Projects and Other Miscellaneous Activities (10%)

  • Participate in meetings and trainings provided by professional learning committees at the University, such as the Graduate Program Coordinators Network (GPCN), the Registrar's Advisory Committee (RAC), the Academic Advisors Network (AAN), the Graduate School Admissions Office (GSAO), and International Student and Scholar Services (ISSS), to remain current on policies and processes.
  • Serve as main contact for scheduling events and programs in the Center's meditation space (in addition to scheduling academic course meetings).
  • Special projects and other miscellaneous activities related to student services and academic programs, as assigned.
Qualifications

Required Qualifications

  • High School Diploma/GED and four years of related student support/ and or operations experience. Training/education may be substituted for some of the years of experience.
  • Demonstrated written, verbal, and interpersonal communication skills.
  • Demonstrated ability to use office software and collaborative tools such as Microsoft Office, Google, and Zoom.
  • Experience using databases and/or spreadsheets to enter data requiring a high level of attention to detail.
  • Experience using complex workflows to complete tasks/processes involving several steps, inputs, or components.
  • Demonstrated commitment to inclusive excellence and serving a diverse community in a professional setting.
  • Ability to work onsite at the Twin Cities campus office, when required.
  • Work is performed in an office environment and requires the ability to operate standard office equipment such as computers, monitors, copy machines, and printers.

Preferred Qualifications
Strong candidates may have some, but not necessarily all, of these qualifications:

  • Bachelor's degree in a related field.
  • Experience working with confidential information.
  • Customer service experience.
  • Admissions experience.
  • Previous work experience in a higher education environment.
  • Familiarity with Peoplesoft, Slate, MyU, Canvas, and other platforms used by the University of Minnesota.

The Bakken Center operates in accordance with the University of Minnesota Work. With Flexibility. guidelines. Bakken Center employees primarily work remotely but must be available to report in-person to the Twin Cities campus or other work locations as necessary. Pay and Benefits

Pay Range: $23.15 - $28.60 hourly rate; depending on education/qualifications/experience
