Role Summary

The Strategic Brand Partnerships team, part of Rivian's marketing organization, is looking for a Brand Partnership Coordinator focused on administration. We build partnerships through aligned storytelling and campaigns that show up across digital, print, retail, and events.

The Brand Partnership Coordinator plays a critical administrative role within the Strategic Brand Partnerships team, ensuring smooth operations, meticulous record-keeping, and adherence to company standards and legal requirements. This position demands exceptional organizational skills, a keen eye for detail, and clear communication abilities.

Responsibilities

Administrative & Operational Support:

  • Manage and organize all partnership documentation, including contracts, agreements, creative assets, and communication logs.
  • Process invoices, track partnership-related expenses, and maintain accurate financial records for all collaborations.
  • Assist in managing and balancing program budgets for partnerships, tracking expenditures against allocated funds.
  • Liaise closely with the finance team to ensure timely vendor onboarding, accurate payment processing, and resolution of any payment-related queries.
  • Maintain and regularly update internal partnership tracking systems, databases, and CRM tools to ensure data integrity and accuracy.
  • Coordinate internal and external meetings, including scheduling, preparing detailed agendas, and distributing comprehensive meeting notes.
  • Assist with event coordination and logistics for partner activations or industry events, handling all necessary administrative arrangements.
  • Provide general administrative support to the brand partnerships team as needed, including managing correspondence and scheduling.

Compliance & Best Practices Coordination:

  • Serve as a key coordinator to ensure all partnership activities strictly adhere to brand guidelines, legal requirements, and company policies.
  • Facilitate the collection and review of necessary legal and compliance documentation from partners.
  • Coordinate the exchange of assets and information between internal teams and external partners, ensuring proper usage rights and approvals are in place.
  • Assist in monitoring partnership activities to identify and flag potential compliance issues or deviations from agreed-upon terms.
  • Support the implementation of new processes and tools that enhance operational efficiency and compliance within the Partnership's workflow.Stay informed about industry trends, regulatory changes, and best practices in brand partnerships and collaborations, and communicate relevant updates to the team.

Partnership Coordination & Communication:

  • Assist Brand Partnership Managers in the administrative aspects of partnership development, from initial outreach support to post-campaign data compilation.
  • Serve as a primary point of contact for routine partner inquiries, providing timely and accurate administrative support.
  • Draft and manage professional correspondence with partners, ensuring all communications are clear, concise, and well-documented.
  • Communicate partnership updates, administrative requirements, and compliance needs to relevant internal departments (e.g., legal, finance, marketing, product).
  • Track key partnership milestones and deadlines, proactively coordinating with relevant parties to ensure projects remain on schedule and all administrative prerequisites are met.
  • Coordinate with marketing fleet teams to ensure tracking of vehicles, as well as adherence of configurations in rotation that align with the latest guidelines.
  • Works closely with the Content Producer and Partnerships Manager to ensure smooth handoff and tracking of content deliverables and partner communications.

Data Management & Reporting Support:

  • Assist in compiling and organizing data for post-campaign reports, focusing on the administrative collection and structuring of performance metrics.
  • Maintain an organized and accessible database of partnership contacts, agreements, and historical performance data for easy retrieval and auditing.
  • Support the team in gathering market intelligence and conducting competitor analysis, primarily through the collection and organization of administrative data.

Qualifications

  • 3+ years of administrative experience within a creative organization
  • Proficiency in Google Docs, Jira or similar work management software
  • Experience with purchase orders, invoicing, and vendor management
  • Comfort working within an evolving brand system
  • Familiarity with creative design tools (Figma, Adobe, or similar)
  • Highly collaborative with clear communication and low-ego energy
  • Strong organizational skills and the ability to juggle multiple projects in parallel
  • Willingness to travel occasionally for team workshops, partnership meetings, event productions
  • Ability to operate effectively in ambiguity and a willingness to pivot as needed.
  • Resourceful, proactive, and can work independently and in a team environment under tight deadlines.

Pay Disclosure

Salary Range for California Based Applicants: $77,800 to $97,300 (actual compensation will be determined based on experience, location, and other factors permitted by law).

Benefits Summary: Rivian provides robust medical/Rx, dental and vision insurance packages for full-time and part-time employees, their spouse or domestic partner, and children up to age 26. Full Time Employee coverage is effective on the first day of employment. Part-Time employee coverage is effective the first of the month following 90 days of employment.
