Job Summary

Performs clerical work involving accurate typing and general school record-keeping. Assists students and school personnel in routine problems, and may provide guidance to and monitor the work of Office Assistants. This class lies above that of Office Assistant and below that of Data Entry Clerk, Middle School Secretary, and High School Secretary.

Essential Functions

1. Maintains student attendance records, types purchase orders for school supplies and equipment.

2. Makes appointments for parents, teachers and others as necessary.

3. Operates office equipment such as personal computers, copiers, and facsimile machines.

4. Types bulletins, letters and other correspondence; distributes notices to proper persons or agencies.

5. Obtains student information and types transcripts as required.

6. Answers inquiries received by telephone, written correspondence, or in person and responds within established guidelines.

7. Records receipts and expenditures; maintains depositing ledger and other internal accounts.

8. Monitors non-instructional activities of children.

9. Provides guidance to, and monitors and reviews the work of Office Assistants.

10. Performs related duties as required.

Probation: Six (6) months

Qualifications

Open Requirements: Ability to read and communicate in English. Must have at least a one (1) year combination of education, training, or experience in clerical or secretarial work. Communication and Business-related college-level coursework may substitute for the required experience on the basis of three semester hours for six (6) months of experience. Must be able to type at a rate of 30 correct words per minute.

Promotional Requirements: All permanent employees who have served for one (1) year in the class of Office Assistant and type 30 correct words per minute will have their name placed on a list* for certification as a Clerk I and upon selection, will be automatically promoted.
