What You Do.

Performs essential Engineering Administrative Assistant support.



  • Expedites invoices and resolves issues, create purchase requisitions, convert purchase orders and update PRs/POs as needed in SAP
  • Provide Capital Appropriation Request (CAR) assembly, routing, tracking, workflow approvals, and documentation for capital projects
  • Generate department KPIs for open capital projects, closeouts, and project financials
  • Creates final documents (letters, manuals, correspondence, PowerPoint presentations, etc.) from rough drafts in support of the Engineering Department.
  • Self manages multiple requests for administrative services from the Engineering Department and other Elkhart Lake Technical Center (ELTC) sources. (lunches, social/volunteer events, travel arrangements, all day mtgs, etc.)
  • Prioritizes work and provides necessary feedback to work source. Manages minor conflicts between multiple requests
  • Coordinates office supply levels for ELTC building, monitors usage and suggests cost savings opportunities
  • Uses effective communication (written, oral, e-mail, etc.) to resolve issues and enhance workflow
  • Clarity/Enterprise Project Portfolio Management (EPPM) tool administrative tasks as assigned
  • Manages and coordinates calendars and other requests from Engineering leadership
  • Publish meeting agendas and meeting minutes
  • Assist with follow up on tasks, status updates, etc.
  • Other tasks supporting the Engineering team and ELTC Building


Additional duties include:



  • Answer incoming telephone calls, determine the purpose of callers, forward calls to appropriate personnel
  • Manage and support visitor registration for the Elkhart Lake facility
  • Receive, sort, route mail, and deliveries
  • Provide building security using security cameras, intercoms, and locked entries
  • Designated severe weather and evacuation coordinator
  • Maintain appointment calendars for conference rooms
  • Regularly evaluates, suggests and implements improved work procedures


Your Education and Experience.



  • High school diploma or general education degree (GED) required. Additional Education preferred.
  • Minimum of one (1) year experience working in a general office environment is required, recent experience is preferred.
  • Additional specialized education (or equivalent experience) in word processing, spreadsheet applications, accounting principles and computer usage is required. General Smartsheet skills are required, advanced Smartsheet skills are preferred. SAP experience preferred.
