As the 4th largest public college of education in the country and the 3rd largest college at UGA, the Mary Frances Early College of Education ( MFE COE) improves the lives of residents of Georgia and beyond through our instruction, research, and service. The MFE COE is a comprehensive college with disciplines focused on teacher preparation, counseling and human development, communication sciences, human movement sciences, career development, student affairs, and educational administration and policy. We place significant emphasis on graduate education with approximately 40% of our students at the graduate level, making us the second largest college at UGA with respect to graduate education.

Position Summary
This position, currently referred to as Graduate Coordinator Assistant, entails handling various administrative tasks associated with graduate programs in the Department of Communication Sciences and Special Education and acting as a liaison between those programs and the UGA Graduate School. This position collaborates closely with department program coordinators and with department leadership as well as working directly with the department Graduate Coordinator. Additionally, this position provides support to graduate students and department faculty. Duties below are representative of the most common tasks associated with this role; additional tasks can be delegated by the Graduate Coordinator as needed.

Admissions, Enrollment and Graduation Management for Graduate Programs (Special Education, Communication Sciences and Disorders, Applied Behavior Analysis)

  • Answer questions from prospective students regarding program admission and requirements.
  • Participate in program info sessions for interested students.
  • Communicate with applicants regarding application completion and missing documents to ensure applications are complete by departmental deadlines.
  • Process applications and compile data and materials for faculty review.
  • Send initial and final acceptance letters to accepted students.
  • Monitor students' completion of program prerequisites and inform program coordinators of progress.
  • Ensure online forms in GradSlate and GradStatus are submitted, routed, and approved in a timely manner.
  • Submit decisions for graduate applications in GradSlate
  • Assign/route online forms (e.g., program of study, comprehensive exams, master's defense, and doctoral defense) to committee members and graduate coordinator.
  • Submit students' graduate school forms and arrange for students' comprehensive examinations and dissertation.
  • Work on behalf of the Graduate Coordinator to submit dissertation and comprehensive examination announcements to the Graduate School.
  • Assist with provision of student funding letters and tuition waiver requests.
  • Serve as a resource and advisor to faculty regarding GradSlate procedures and timelines.

Duties/Responsibilities
Graduate Student Support:

  • Provide support to graduate students, online and on campus, across multiple programs.
  • Act as student representative and liaison between students, faculty, the University of Georgia Office of the Registrar, UGA Graduate School, and other units.
  • Monitor student enrollment and grade point averages to ensure that students comply with all University policies.
  • Communicate important University and Graduate School deadlines (drop/add, registration, withdraw, graduation, etc.), and job opportunities sent from outside agencies.
  • Monitor course rolls and student incomplete grades.
  • Assist students with requests such as late course adds, section change forms, and course overload requests.
  • Monitor students' completion of program prerequisites and inform students of progress.
  • Communicate Graduate School graduation deadlines with graduate students.

Data Management and Reporting:

  • Maintain current records on all graduate students as directed by the Graduate Coordinator.
  • Compile annual data for student learning outcomes, ASHA, and other accreditation/reporting measures.
  • Monitor and promote the retention, progression, graduation, and career outcomes of students.
  • Create templates and/or surveys as needed to provide program data.

Program Management & Curriculum Support:

  • Collaborate with program coordinators to maintain and revise programs of study regularly.
  • Maintain updated programs of study and ensure they are posted online
  • Maintain student handbooks for graduate programs and make revisions when requested by program coordinators, department leadership, or graduate coordinator.
  • Review and revise UGA Bulletin annually in collaboration with program coordinators and department leadership.
  • Create, update, and maintain new graduate courses and course revisions within UGA's CAPA system.
  • Serve as a resource and advisor to faculty regarding curriculum procedures (e.g., deadlines for curriculum changes, processes for new program approval).
