The Enrollment Management Department at West Virginia University is currently accepting applications for a Program Coordinator of Undergraduate Recruitment Events.

About the Opportunity

The Program Coordinator manages, plans, and provides creative strategy and direction for Undergraduate Recruitment events, experiences and other key recruitment initiatives for Enrollment Management. Under the direction of the Director of Undergraduate Events and Onboarding, this position will work to ensure recruitment goals are met, work to build brand, and provide a seamless event experience.

What You'll Do



  • Support the Director of Undergraduate Events and Onboarding with the coordination, training, and hiring of student ambassadors.
  • Partner with Director to plan and implement on-campus and off-campus recruiting efforts and events including but not limited to open houses, high ability events, college fairs, educator events, and various special events.
  • Serve as a liaison to the campus community for undergraduate central recruitment events.
  • Serve as the decision maker for events in the absence of Director.
  • Manage all event meetings, organize agendas, follow up and keep track of assignments, and follow through.
  • Manage event creation and communications within Blackthorn. This includes event registrations, producing reports, and managing data related to each event.
  • Coordinate, plan, and execute logistical event details, which will include scheduling reservations for event space, food and beverage, transportation, audio/visual, among others.
  • Communicate verbally and electronically with faculty, staff, and group sponsors regarding the planning and management of event details to ensure flawless execution of tasks.
  • Monitor and respond to all messages in the wvuadmissionsevents and wvuorientation email accounts. Serve as the primary point of contact for students and families that have event questions.
  • Ensure all segments of events are planned and executed on time and within budget.
  • Represent WVU as a recruiter for all recruitment territories. Travel to college fairs, high school private visits, information nights, university hosted events and parent nights to counsel prospective students and families as needed.
  • Follow up with students from initial contact through enrollment to ensure students have every opportunity to enroll. This includes maintaining open communication via phone, e-mail and surface mail as needed and recruiting students equally regardless of race, religion, or socioeconomic background.
  • Complete other projects and assignments at the request of the leadership within Enrollment Management.
  • Assist with event communication and audience segmentation to ensure events are non-duplicative and fulfill recruitment and enrollment needs.
  • Ensure coverage for events, managing professional staff, student staff, and volunteer staff. Ensure staff development professional opportunities and demonstrates leadership for the office.

Qualifications

  • Bachelor's degree
  • A minimum of six (6) months of experience in the following:

    • College admission counseling, sales, marketing, public relations, advising or counseling, event planning, or a related field


  • Any equivalent combination of related education and/or experience will be considered.
  • All qualifications must be met by the time of employment.


Knowledge, Skills, and Abilities



  • Excellent time management, attention to detail, and organizational skills.
  • Must be able to plan and help manage events with creativity and efficiency.
  • Must be able to work in a fast-paced, deadline-driven environment.
  • Ability to relate to the concerns of prospective students and parents and the ability to counsel them on those concerns.
  • Demonstrated excellent oral and written communication skills are required to advise and counsel students, parents, and high school counselors regarding WVU programs and admission requirements as well as communicate attributes of programs and services offered.
  • Demonstrated understanding of undergraduate curricular and co-curricular experience at WVU or another major public institution of higher education located in a college town environment.
  • Ability to facilitate equal access to WVU education for all interested students.
  • Must be able to travel extensively (often overnight) and to work extended hours and weekends on short notice as needed.
  • Must be able to work flexible hours in late spring and summer as needed.
  • Must have demonstrated excellent interpersonal skills and the ability to develop constructive relationships with prospective students and their families as well as University administrators and high school counselors, teachers, and principals.
  • Must always exhibit professional behavior and image to best represent WVU to our constituents.
  • Must exhibit a positive attitude and demonstrate the ability to work well with others.
  • Ability to rapidly learn WVU admission requirements, admission timeline, and basic housing and financial aid requirements and regulations.
  • Ability to operate a motor vehicle.
  • Physical capability to transport materials weighing an average of 25-40 pounds.
  • Must be able to qualify for a university travel card (pass a credit check).
