Wages and Benefits

$23.10 - $25.50 per hour, depending on qualifications and experience; Generous paid time off (PTO), plus 12 paid holidays; competitive health, dental, and vision insurance; Health Savings Account (HSA), and options for Flexible Spending Accounts (FSA). There is employer paid basic life with the option for additional coverage paid by the employee. The employer pays for Accidental Death and Dismemberment (AD&D) insurance and long-term disability insurance. PCYC sponsors a retirement plan with 25% match on your first 4% and immediate vesting.

Schedule

This position works an average 40-hour flexible schedule that may occasionally include evening and/or weekend hours.

A Typical Day in the Life...

A typical day as PCYC's Capri Booking & Office Manager provides an opportunity to drive revenue growth, support vibrant programming, and ensure smooth, professional client and event experiences at the Capri Theater. Your work will support the overall success of the facility and its programs, and will include the following:

Booking & Event Coordination



  • Collaborate closely with the Capri Director to meet or exceed revenue goals through strong client relationship management and a seamless booking process.
  • Schedule and lead client meetings and venue tours, ensuring all production requirements are clearly defined.
  • Create and manage proposals, invoices, and presentation agreements; collect payments and liability insurance documents in advance.
  • Attend weekly Capri staff meetings and provide detailed briefings for all upcoming events.
  • Ensure successful event execution by delivering accurate run-of-show information to the Capri team, including the Director, Operations Manager, Technical Production Manager, and Audience Services Manager.
  • Assist the Capri Director in building budgets for Capri productions and presentations, anticipating both expenses and revenues.
  • Submit marquee updates for each event to the Audience Services Manager and website updates to the Communications Director, both with Capri Director approval.
  • Educate clients on Capri policies, procedures, and security practices to protect the facility.
  • Maintain a comprehensive Capri calendar and a detailed client/vendor database.
  • Cultivate new business through networking, venue tours, and coordination with Marketing and Communications.


Office Management



  • Oversee daily operations of the Capri office, maintaining organized calendars, files, and resources.
  • Order and manage office supplies to support all areas of the Capri Theater.
  • Organize and update staff schedules to ensure proper coverage and workflow.
  • File contracts, agreements, insurance documents, and related materials for all events and programs.
  • Prepare and distribute detailed Event Briefings with full contact information for clients, vendors, technicians, and creatives.
  • Track and manage Event Reports from the Audience Services and Technical Production Managers, ensuring sign-off and delivery to the Capri Director.
  • Evaluate events in collaboration with the Capri team, using Event Reports to support improvements in efficiency and execution.
  • Assist the Capri Director with newsletters, marketing materials, grant reports, and budget tracking.
  • Provide budget updates, revenue, and expense reports to the PCYC Executive Director and Director of Finance and Administration.


Who You Are



  • You have at least 3 years of experience in arts administration.
  • You hold a minimum 2-year degree, preferably with a focus in Theater or Event Coordination.
  • You value diversity of thought, background, and perspective.
  • You bring excellent interpersonal and team collaboration skills.
  • You possess strong project management and oversight abilities.
  • You are familiar with arts and community resources in the Twin Cities that may benefit clients and programs.
  • You are proficient in Microsoft Office, especially Excel, and maintain well-organized digital files.
  • You manage multiple tasks independently while maintaining high attention to detail.
  • You demonstrate impeccable communication and diplomacy in client and team interactions.
  • Preferably, you have a valid driver's license, access to reliable transportation, and the ability to meet PCYC's driving record requirements. Please note that if the license was not issued in the state of Minnesota, you have 60 days after becoming a Minnesota resident in which to apply for your Minnesota driver's license or permit.
