Scripps Institution of Oceanography is one of the organizing partners of the Ocean Pavilion, an exhibition space at the United Nations Conference of Parties, the climate change conference known as COP, focused on highlighting the critical role of our ocean in climate. The Ocean Pavilion serves as the central hub for COP conference delegates and partner organizations to exchange ideas on addressing the climate crisis by leveraging ocean science and solutions. Throughout the two-week conference, the pavilion hosts scheduled programming, meetings, and in-depth discussions that elaborate on a set of conference themes related to the ocean. The Ocean Pavilion Event Manager will collaborate with Scripps Oceanography in managing Ocean Pavilion events leading up to and during COP30 in Belem, Brazil from November 10-21, 2025. This includes participation in planning meetings, building and following an event timeline to ensure production and design deliverables are met, working closely with the organizing partner to develop the schedule for Ocean Pavilion programming, partner management, and communication, and other duties as assigned. The position will work alongside the Scripps Oceanography director in outreach to partners and key contacts and staff the Scripps director on-site for key meetings and appearances as needed. The position will also assist with support of the UC San Diego delegation, including developing training and briefing documents, providing event logistics information overviews, and creating the UC San Diego delegation schedule. The position will attend COP30 to manage on-site event logistics, including staffing the Ocean Pavilion, coordinating programming and event logistics, overseeing UC San Diego and partner staffing, and other logistical details, as necessary. The hours will fluctuate as you prepare for the event. As the event gets closer, the hours will be expected to increase, then scale back down following the conclusion of the event. QUALIFICATIONS*Thorough knowledge and understanding of concepts, principles and practices of event planning and public relations, including event design, organization and production. Past experience coordinating large-scale and/or international events or event activations. *Demonstrated organizational and project management skills to work successfully with clients to produce high quality events that meet client needs and appropriately represent the campus for fundraising events. Skills to provide excellent donor stewardship. *Highly developed interpersonal communication skills including political acumen and social perceptiveness. Excellent verbal and written communication skills to effectively communicate with diverse populations with competing priorities. Ability to work collaboratively with an array of partners and stakeholders. *Proven ability to work on several tasks simultaneously. Skill at responding effectively to priorities and setting deadlines. *Highly developed judgment, decision-making and problem recognition / avoidance / resolution skills, including skill in determining those issues / problems that need to be brought to management's attention. *Ability to effectively work with invited guests, donors, government officials and university VIPs. *Thorough knowledge of the campus, its vision, mission, programs, policies, achievements and infrastructure. Knowledge of University policies and procedures relating to the use of University facilities, event management and presentation. *Knowledge of principles and practices of volunteer recruitment, supervision, motivation and evaluation. *Experience maintaining a high standard of productivity within a broad scope of responsibility despite frequent interruptions. Ability to complete large volume of diverse tasks efficiently, meeting established deadlines. *Skill in effectively meeting budget and time constraints. *Knowledge of crowd management, crowd safety protocols, security and emergency procedures related to small, medium and large scale gatherings. *Ability to give clear directives and use independent, rational judgment to make optimal decisions. *Knowledge and skill to set and monitor work standards and protocols. SPECIAL CONDITIONSMust be able and available to travel internationally. Pay Transparency Act Annual Full Pay Range: $69,500 - $123,500 (will be prorated if the appointment percentage is less than 100%) Hourly Equivalent: $33.29 - $59.15 Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
