Job Responsibilities |
The Coordinator is the first point of contact for everyone contacting the Office of Residential Life and ensures the daily administrative operations of Residential Life run efficiently and seamlessly. Additionally, the Coordinator assists with the administrative functions of the housing operation including break housing, billing, assignments and withdrawals.
The Coordinator listens and responds to any concerns in a friendly, calm, understanding, and knowledgeable manner. Regularly working with students and their families requires the Coordinator to maintain confidentiality, an even demeanor, tact, and a supportive but firm manner.
The Coordinator is expected to be able to multitask and manage multiple priorities and work in a busy office environment with distractions. The Coordinator provides administrative and scheduling support to the Director of Residential Life with a high degree of organization.
Office Support (50%)
- Perform a variety of office functions including answering phone calls, email inquiries, attending to "walk ins", etc.
- Refer students to appropriate campus resources, or schedule students when referrals are made within the Department
- Interpret and communicate all procedures and policies regarding Residential Life to constituents
- Approve and disseminate postings for the Residence Halls
- Maintain accurate electronic student files
- Maintain inventory of office supplies, materials, etc.
- Distribute office mail and packages
- Provide administrative and calendar support to the Director, Assistant Director, and Assistant Dean of Students
- Support the Department's student recognition efforts
- Represent the office at orientation as well as yearly orientation efforts including Great Beginnings as needed
- Manage calendars; schedule appointments and meetings
- Process room reservations and catering requests as needed
- Administrate departmental budget
- Coordinate purchasing requests for the Office
- Compile and review budget logs and expense reports
- Track spending and reconcile purchases
- Attend weekly individual meetings with the Director
- Assume other responsibilities as assigned by the Director
Housing Operations Support (50%)
- Assist with new student housing assignments and current student room change processes
- Review and process student break housing requests
- Coordinate room inspection process with the Residence Directors
- Coordinate the housing waiting list and housing withdrawal processes
- Oversee appropriate vandalism and damage billing procedures
- Serve as departmental resource for Star Rez
- Coordinate all lists and paperwork for residence hall openings, closings and breaks
- Communicate with students and families about living on campus including room change procedures
- Maintain departmental website in consultation with Director and University webmaster
- Serve as the liaison to OIT for issues
- Serve as the point of contact for Admissions for tour rooms and coordinate the securing of tour rooms with the Residence Directors

Education / Experience |
Required:
- Bachelor's Degree or equivalent work experience.
- Desire to work in a student-centered environment.
- Excellent writing and interpersonal skills.
- Ability to Operate: phone, fax, printer, scanner, copier, etc.
- Computer Skills: Outlook (calendar management), Word, Excel.
Preferred:
- StarRez
- Experience working in a higher education environment.
- Computer Skills: Canva, OneNote, housing management software.

Work Environment |
Busy office with many interruptions. Must be available to work a limited number of extended hours, some weekends and for special events. This is a front office position and an organized, clean workspace is a must. |
