General Function:
- Perform administrative tasks supporting daily operations of the F-15 Division, coordinating with base personnel, security, IT, travel, and other external agencies to ensure seamless operations.
- Assist in planning and organizing daily activities and program management efforts necessary to support the F-15 Division's mission.
- Manage executive calendars, schedule meetings, and ensure leadership time is effectively utilized.
- Organize and manage materials for meetings, including presentations, agendas, meeting minutes, and briefings.
- Collect program information and develop executive-level documentation to support leadership decision-making.
- Prepare and coordinate program briefings, decision documents, and related communications.
- Provide coordination, integration, and planning support across acquisition, sustainment, and modification efforts.
- Support and participate in executive, readiness, budget, design, weapon system, and technical reviews, and document meeting minutes and action items.
- Facilitate daily operations by supporting Chief of Staff, general officer, and Congressional taskings and associated deadlines.
- Assist in developing key program documents such as aircraft availability plans, roadmaps, and program management strategies.
- Maintain a comprehensive list of ongoing work efforts and assign offices and action officers accordingly.
- Ensure all work efforts are effective, address issues as they arise, and make improvements as needed.
- Support IMS, milestone tracking, and schedule assessments in collaboration with program managers.
- Develop and maintain project-specific schedules and Life Cycle Sustainment Plans (LCSPs).
- Provide support in areas including finance, contracts, engineering, logistics, and configuration management; manage mail, files, classified material, and correspondence.
- Record meeting attendance, draft official minutes, and manage travel arrangements using DTS, ensuring accuracy and policy compliance.
- Maintain Outlook calendars and schedules for division leadership to enable coordination across teams.
- Manage administrative procedures for document handling, sensitive data destruction, and compliance checks for accuracy.
- Create and maintain databases, graphics, and standardized products such as org charts, recall rosters, and reports for personnel evaluations and procurement.
- Answer phones, manage meeting logistics, produce visual aids, and improve computer-based communication processes for internal operations.
- Manage decoration and recognition programs for civilian and military personnel, including nominations for awards and special honors.
- Track and manage training programs, budgets, and requests using ETMS and digital tools; assist in submitting training documentation.
- Support in/out-processing by updating checklists, coordinating appointments, briefing new personnel, and ensuring onboarding completeness.
- Monitor and manage office supplies, emergency procedures, and SharePoint content; serve as records custodian for electronic management systems.
- Execute AFLCMC processes across F-15 locations by managing suspense databases, reviewing contract letters, and facilitating timely, accurate task tracking and documentation.
Qualifications: Education/Certifications/Experience/Skills:
- Advanced Degree (Master of Arts (MA)/Master of Science (MS)) and 12 years of experience in the respective technical/professional discipline being performed, 5 years of which must be in the DoD.
- OR, BA/BS degree, and 15 years of experience in the respective technical/professional discipline being performed, 5 of which must be in the DoD.
- OR, 20 years of directly related experience with proper certifications as described in the Functionally Aligned Job Descriptions, 8 of which must be in the DoD.
- Must possess and maintain a government security clearance at the Secret Level.
- Must be proficient in the use of Microsoft Office Applications and other standard applications.
