Job Description:

  • Support staff needed to assist Procurement Bureau/General Services Unite with administrative tasks while the Division is short-staffed.
  • Coordinates and schedules meetings.
  • Responds to Vendor and Agency emails and telephone calls, as requested.
  • Provides complex, direct, technical assistance to professional buying staff engaged in completing sophisticated procurements, special analytical projects, or investigations.
  • Compiles documentation for and creates contract award files, which may include scanning hard copy files.
  • Prepares correspondence to Vendors for contract extensions or contract maintenance.
  • Prepares correspondence to Vendors for various forms required as part of a Contract Award.
  • Reviews and verifies that required forms have been submitted as part of bid proposals.
  • Maintains a list of key contract expiration dates for buying staff and supervisors.
  • Assists in tabulating complex bid proposals from multiple vendors.
  • Collects background information for and assists in preparing simple commodity specifications.
  • Collects accurate purchasing production data as a basis for periodic management reports.
  • As required, schedules and participates in bidders' conferences.
  • Prepares procurement related correspondence and reports.
  • Coordinates the maintenance of essential contract and bid records and files.
  • Organizes contract award files for archiving.
  • Maintains physical space and organization of the unit.
  • Maintains, updates, and organizes virtual/shared files.


Required Skills:

  • Proficiency in the Microsoft Office Suite.
  • The ability to communicate effectively
  • Excellent computer, organizational, reading and writing skills;
