Position Summary

The Workplace Coordinator plays a primary role in supporting the continuous operation and improvement of our office spaces, including site security, property maintenance and project-based initiatives.

This will be a hybrid role. Candidates need to be located within a commutable distance to one of the following offices: Chicago, IL, Goleta, CA, Denver, CO, Jacksonville, FL, or New York, NY.

Role and Responsibilities

  • Assist the Workplace Manager in all aspects of project implementation as needed.

  • Develop and maintain systems for organizing physical and digital records.

  • Implement and manage document retention policies in compliance with legal and regulatory requirements.

  • Ensure proper security and confidentiality measures for sensitive records.

  • Assist in audits and ensure records are properly classified, stored, and accessible.

  • Coordinate the transfer, archiving, and disposal of outdated or unnecessary documents.

  • Train and assist staff on proper records management procedures.

  • Collaborate with various departments to streamline document workflows.

  • Maintain an accurate indexing system for easy retrieval of information.

  • Generate reports and respond to requests for documentation from internal and external parties.

  • Develop and maintain environmental, health, and safety policies and procedures.

  • Provide training programs to employees on safety protocols and best practices.

  • Maintain records and documentation related to safety compliance and incident reports.

  • Collaborate with management to enhance workplace safety culture.

  • Assist in the implementation of ESG initiatives

  • Manage the collection and reporting of ESG data

  • Collaborate with various departments to ensure alignment with ESG goals.

  • Special projects as assigned.

  • Hybrid role with a daily office presence is required three days a week.

  • The time spent on each responsibility reflects an estimate and is subject to change dependent on business needs.

Skill Requirements/Preferences

  • Superior customer service skills and orientation.

  • Ability to maintain consistent professionalism under stressful situations.

  • Ability to plan and manage work under time constraints.

  • Ability to multitask and work with minimal supervision.

  • Excellent critical thinking skills and ability to direct responses during emergency situations

  • Excellent verbal and written communication skills and proven ability to provide direction to staff

  • Preferred:

  • Proficient in MS Office, and possess strong written, verbal and people skills.

  • Strong organizational skills and collaborative style needed.

  • Knowledge of real estate, telecommunications, furniture, accounting and building systems.

Education Requirements

  • High school degree required, bachelor's degree in engineering, facilities management, business management, or related field preferred.

  • Certification in facilities management (FMP, CMP) a plus.

The salary for this position is$25.00-$30.00 per hour. In addition to a base salary, this position is eligible for a performance bonus and benefits (subject to eligibility requirements) listed here:Teladoc Health Benefits 2025.Total compensation is based on several factors including, but not limited to, type of position, location, education level, work experience, and certifications.This information is applicable for all full-time positions.
