Job Description
Primarily performs bookkeeping responsibilities and provides some administrative support to the DWS Family Office team. Completes special projects as needed. Maintains a high degree of professionalism and confidentiality at all times. Essential Duties & Responsibilities include the following. Other duties may be assigned. Completes all work in an accurate, thorough and timely manner demonstrating a sound understanding of areas of responsibility. Maintains a high degree of confidentiality in the performance of all duties. Bookkeeping responsibilities:
- Gather, enter and consolidate data for financial and ad hoc reporting
- Bank statements
- Weekly cash reporting
- Tax documents, including K-1's, 1099's, etc.
- Investment activity and portals
- Etc.
- Prepare check, ach and wire payments, including confirming appropriate approvals and coding
- Manage and track recurring payments and standing instructions
- Prepare journal entries and post cash transactions to general ledgers.
- Perform bank reconciliations of assigned accounts
- Perform month end account reconciliations of assigned balance sheet and income statement accounts
- Adhere to all internal control policies and procedures. Identify any deviations and propose solutions.
Administrative and general responsibilities:
- Coordinate the DWSCO workflow including the following:
- Receipt of physical mail and email correspondence
- Determining priorities, prepare responses, and/or refer appropriately
- Follow up as needed.
- Provide workflow support in the following areas:
- Managing certain items through their full workflow, including primary point of contact for legal, banking, investment and other complicated documents
- Obtaining signatures
- Preparing and tracking certified mail
- Filing physical and electronic files
- Making cash deposits at the bank
- Assists the COO DWSCO in scheduling meetings, calls, etc.
- May assist in planning and organizing meetings including logistics, facilities, food, and materials with limited supervision
- Perform administrative tasks for special projects with limited supervision
- Maintain DWS Family Office supplies and equipment. Primary point of contact for outside supply orders and internal facilities and IT requests.
- Maintain accurate, complete and current files and records ensuring the appropriate safeguarding of confidential or proprietary information.
- Handle details of a highly confidential and critical nature according to company policies and procedures.
- Perform additional administrative tasks as assigned to support the DWSCO team

Job Requirements
Essential Skills & Qualifications:
- Ability to maintain a high degree of confidentiality and professionalism in all aspects of this role
- Working knowledge of bookkeeping as evidenced by 3+ years of experience in a related function.
- Thorough knowledge of administrative office procedures and practices as evidenced by 3+ years of experience in a related function.
- Demonstrated ability to:
- Communicate effectively both orally and in writing, with all levels of the organization
- Complete work in a timely, accurate and thorough manner
- Balance and prioritize multiple needs with limited guidance
- Exercise sound business judgement and discretion
- Technical proficiency with the following:
- Intermediate to Advanced with MS Office applications including Word, Excel, Adobe Acrobat and Outlook
- Intermediate with electronic documentation and storage applications
- Experience with financial reporting software (Yardi a plus)
Non-Essential Skills & Qualifications:
- Experience working with family office and/or high net worth individuals and/or the real estate business is highly desirable.
- Knowledge of GAAP accounting desirable but not required.
- Possession or desire to obtain notary services license preferable.
Education/Experience:
- Associate's degree (A.A.) from a two-year college or technical school required. Bachelor's degree is strongly preferred.
- Minimum of 3+ years of office experience in a corporate or professional office environment required.

Salary Range:
- $55,000 - $95,000(Salary range is consistent with what the business reasonably expects to pay a new hire. Actual pay is subject to a number of factors, including geography, experience, education, etc., and is subject to change).
