Position Summary Information
Primary Purpose |
The Faculty Support Specialist serves as an administrative assistant with responsibility for supporting numerous faculty members and interacting with the student body. The position requires a high degree of computer literacy and ability to shift from task to task nimbly. Additional duties include administrative support tasks and specialized assignments/responsibilities as noted below. |
Essential Functions |
- Faculty Support Specialists are primarily responsible for supporting all manner of faculty work including assessments, scholarship/conferences, committee service, and daily functioning of the law faculty. Systems required for Faculty Support Specialist:
- Word Processing including Word and Adobe -used for formatting and preparing assessments, mid-terms and final exams;
- ExamSoft - used to check in exams and notify students if an upload is needed after an exam has been taken;
- PrintX - used to print essays for professors to grade;
- Use of EMS to reserve rooms for faculty requests;
- Argos software, used to produce rosters and sign-in sheets for faculty;
- SeatGen, used to produce flashcards, tent cards and seating charts at the start of each semester;
- Ordering and maintaining stock of supplies for faculty and staff;
- LibGuides - used to upload syllabi every semester for students to access;
- Supplemental Books - format and print for delivery to the bookstore for students to purchase;
FAMIS - online system to request assistance from other departments on campus, including Building and Grounds, custodial and general maintenance.- Emburse Chrome River - Electronic platform for processing expense and travel reimbursements, invoices, and purchase orders.
- Syllabi/First Assignments: Requires multiple emails and reminders, resulting in faculty submitting these materials for posting to the department's LibGuides site and copying materials for the FSO's hallway bin system. Responsible for maintaining a list of received and not received materials, submitted to the Assoc. Dean for Academic Affairs for follow-up, and producing a binder each semester of all syllabi for the Assoc. Dean. Finally, all syllabi are uploaded to the University's Sharepoint site, as required by policy.
- General Clerical: Provides general clerical support for all faculty (30 full-time & 75 part-time professors), which includes; word processing, copying, formatting, proofing/editing, scanning, basic citation research, finalizing letters of recommendation, collating/stapling, email assistance, shipping/mailing, mail merge projects, meeting room EMS requests, office supplies, and certificate production.
- Student Support: Prepares, organizes and distributes materials to students utilizing our hallway bin system. Also accepts from students (timestamp/check-in/prepare for professors) documents such as papers, take-home exams and self-assessments, utilizing our counter system. Addresses student concerns with professors, serving as liaisons to ensure student names are maintained as confidential to ensure anonymity.
- Exam Processing: Works within the team to ensure that all returned assessment/exam boxes are unpacked, checked-in, documents filed as specified, students who have not uploaded are contacted, and professors receive completed essay and multiple choice results as soon as possible.
- Semester Preparations: Working very closely with faculty, produces supplemental reader materials for students, finalizing tables of contents, pagination and coordinating the production of a graphic cover, before forwarding to the Printshop for production. Also processes/sorts/stuffs into mailbins rosters and attendance sheets for professors, produces student namecards, and provides general assistance with student inquiries regarding first assignments, syllabi and office hours.
- Exam Administrator Duties: Requires the ability to troubleshoot ExamSoft technical issues during exams, and in consultation with the Director and Dean of Students, mitigate any exam issues during an exam. Requires some over-time as requested.
- Class Preparations: Assists faculty with prepared materials for classes, including finalizing PowerPoint presentations, saving materials to USBs/pdf for easy distribution, contacting Media Resources or IT with class technology issues, and producing class handouts.
- Trial Advocacy Assistance: Prepare and send letters to potential judges and jurors for trials. Prepare folders and binders and send confirmation packets. Reserve rooms utilizing EMS. Order supplies for all trials. Create seating charts for jurors. Place catering orders for Saturday trials. Work closely with Trial Advocacy program director to ensure all tasks are completed in a timely manner.
- Assist faculty to resolve computer equipment problems.
- Apply university and office specific policies, rules, regulations, and procedures.
- General Accountabilities: Must perform assigned work accurately and must learn to operate, maintain, and troubleshoot various pieces of office equipment. Assists faculty to resolve computer equipment problems. Must learn and apply University and office-specific policies, rules, regulations, and procedures. Must be able to maintain confidential subject matter, produce accurate high quality work, follow difficult oral and written directions, work under production deadlines, and provide friendly and efficient customer service to all constituents. Requires excellent communication skills, both written and oral, with all levels of staff/management/departments, and faculty and students.

Minimum Qualifications |
- Bachelor's Degree.
- Two (2) years of related work experience.

- Knowledge of modern office methods, supplies and equipment that are adequate to successfully complete difficult and complex documents.
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.

- Ability to use word processing graphics, spreadsheet, scanning, online legal database, and other specialized computer software for typing, editing, proofreading, formatting and printing instructional and academic materials.
- Excellent level in proofreading, grammar, punctuation, and spelling.
- Experience and sensitivity in working with people of diverse backgrounds and cultures.
- Demonstrated experience in advancing social justice, equity, and inclusion in a university setting.
- Ability to engage and integrate culturally responsive practices and knowledge in their work.

Work Environment/Work Week/Travel:
Work performed during standard business hours. Evening and/or weekend overtime is required at specific times of the academic year to cover evening assessment, mid-term & final exam administration. |
Hiring Range |
$18.99 - $23.74 per hour. We consider factors such as, but not limited to, scope and responsibilities of the position, candidate's qualifications, internal equity, as well as market and organizational considerations when extending an offer. |
