WORK ASSIGNMENT DETAILS

Waukesha County's Department of Health & Human Services is recruiting for a talented Administrative Specialist to join its team. This position is embedded in the Child & Youth Coordinated Services Division of the Human Services Building and provides direct support to the division staff. This position includes working with staff from other divisions, departments, external stakeholders and the public.

The specific duties of the Waukesha County Department of Health and Human Services (WCDHHS) Administrative Assistant in the Child & Youth Coordinated Services Division include:

  • Places approximately 50-75 Amazon purchases for clients daily
  • Uploads court documents, sends emails to workers, tracks court schedules, and enters pre-defined information into eWiSACWiS
  • Maintains monthly statistics
  • Logs survey data for divisional programs
  • Maintains monthly case lists
  • Receives and distributes incoming faxes via email
  • Maintains staff listing and seating chart for the division
  • Creates Microsoft forms/surveys for division
  • Tracks training for staff and vendors
  • Schedules groups in Avatar
  • Staff Action Committee member
  • Facilitates other key unit functions, as needed
  • Acts as official minute taker for the Children's Community Options Program Committee (CCOP) following open meeting law requirements
  • Acts as official minute/notetaker for internal ad hoc committees/meetings
  • Acts as a notary for department/divisional needs
  • Provides backup coverage to the Child & Youth Family Services Administrative Assistant and Child & Youth Family Services Human Services Support Specialist
  • Acts as a backup to the front desk receptionist and mailroom at the Human Services Building (HSC)
  • Other duties as assigned

Minimum Training & Experience Requirements
1. High School Diploma or GED.
2. Two years post high school work experience providing administrative support.
3. One year of recognized post high school training in business, administrative professional, or closely related field may substitute for one year of the work experience requirement.
