    REPORTS TO: Associate Principal of Operations

    POSITION OBJECTIVE: The job of Clerk 2 - Main Office is done for the purpose/s of providing clerical support to the assigned administrator(s) and department; communicating information to staff and the public; performing the duties of other clerical support personnel during their absence; providing information and/or direction as may be requested.

    MINIMUM QUALIFICATIONS: Targeted, job related education with study in job-related area.

    REQUIRED SKILLS:

    • Proficient in operating standard office equipment and using relevant software applications

    • Skilled in preparing and maintaining accurate records

    • Strong customer service skills

    • Effective communication skills (oral and written)

    • Ability to perform basic math, including calculations with fractions, percents, and ratios

    • Skilled in reading manuals, writing documents in prescribed formats, and presenting information to others

    • Capable of understanding complex, multi-step written and oral instructions

    • Knowledge of grammar and punctuation concepts

    • Familiar with common office machines and office methods and practices

    • Proficient in business telephone etiquette

    • Knowledgeable about office practices and procedures

    • Understanding of board policies, district, state, and federal regulations/laws

    • Ability to schedule activities and manage time effectively

    • Skilled in gathering, collating, and classifying data

    • Proficient in using job-related equipment

    ESSENTIAL FUNCTIONS:

    • Answers telephone calls for the purpose of screening calls, transferring calls, responding to inquiries and/or taking messages.

    • Assists other school support staff as needed for the purpose of providing support for completing activities and services in a timely manner.

    • Process documents, forms, mailings and materials for the purpose of disseminating information to appropriate parties in compliance with established administrative guidelines.

    • Distributes materials for the purpose of ensuring delivery to addressee.

    • Greets individuals entering the building and/or office area for the purpose of responding to inquiries; and/or directing individuals to appropriate locations.

    • Inputs data into various software systems for the purpose of ensuring accuracy of data.

    • Participates in unit meetings, inservice training etc, for the purpose of conveying and/or gathering information required to perform functions.

    • Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit pertaining to District 219.

    • Prepares standardized documents for the purpose of communicating information to other parties.

    • Procures supplies and materials for the purpose of maintaining availability of required items.

    • Responds to inquiries from a variety of internal and external parties for the purpose of providing information, facilitating communication among parties and/or providing direction.

    • Updates records for the purpose of documenting activities and/or conveying information.

    • Maintains a wide variety of manual and electronic documents, files and records for the purpose of providing up-to-date information and/or historical reference in accordance with established administrative guidelines and legal requirements.

    • Communicates with parents/guardians of students for a variety of reasons.

    • Oversees assigned program and/or departmental responsibilities for the purpose of achieving organizational objectives and ensuring compliance.

    • Schedules appointments, meetings, and events for the purpose of making necessary arrangements for assigned administrators.

    • Compiles data from a wide variety of sources for the purpose of preparing reports, processing requests; and/or preparing information for assigned administrators.

    • Coordinates assigned projects and/or activities for the purpose of completing activities and/or delivering services in a timely fashion.

    • Maintains inventory of supplies and materials for the purpose of ensuring items' availability.

    • Prepares a variety of correspondence, reports and other materials for the purpose of documenting activities, providing written reference, and/or conveying information.

    • Supervises student workers for the purpose of providing guidance and meeting work requirements.


    RESPONSIBILITY

    Responsibilities include: working under direct supervision using standardized routines; providing information and/or advising others; utilization of some resources from other work units may be required to perform the job's functions. There is a continual opportunity to have some impact on the organization's services.

    WORKING ENVIRONMENT

    The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling, some stooping, kneeling, crouching, and/or crawling and significant fine finger dexterity. Generally the job requires 50% sitting, 25% walking, and 25% standing. This job is performed in a generally clean and healthy environment.
