This is a full-time, overtime eligible position in the Deans Area on the Olympia campus of The Evergreen State College.
Position Purpose
Under the general supervision of the Director of Academic Initiative Integration and Support, this position manages faculty personnel support operations and staff for faculty hiring, onboarding, exiting, review, leaves, contracts management, retirement tracking, faculty required training support and tracking, commitment/responsibility tracking, and administrative support processes, systems, and policies associated with supporting faculty as employees.
Nature and Scope
Essential Functions
Faculty Personnel Supervisory and Management

  • Manage and oversee the essential support processes, including work closely with Vice Provost, deans, and directors in the Academic Affairs division to ensure faculty, adjunct faculty, and instructor hiring, onboarding and exiting, contracts, reviews, leaves, required training, and personnel files are in line with institutional timelines, contractual obligations (i.e., Evergreen United Faculty Collective Bargaining Agreement), budget allocations, and institutional policies.
  • Supervise the Faculty Personnel team, including hire, schedule, train, evaluate, and address performance issues.
  • In coordination with the Dean of Faculty and Vice Provost, manage the overall hiring and contract cycles for regular and adjunct faculty and continuing education instructors.
  • In coordination with the Dean of Faculty and Faculty Personnel team, support all faculty personnel related budget tracking, analysis, planning, and staff coverage for faculty personnel related items.
  • Provide support, troubleshooting, and guidance on faculty personnel workflows, policies, and systems.
  • Manage the content for Faculty Resources and Faculty Employee related intranet sites.
  • Manage and provide data synthesis, policy, reporting, and faculty personnel process and system support for faculty personnel implementation for the Provost and Deans.
  • Serve as a contact for systems supporting faculty personnel workflows, including Microsoft Office 365 (Teams, SharePoint, Word, Outlook, Forms, etc.) and PeopleAdmin; submit, track, and follow up on technology requests and troubleshooting.
  • Maintain faculty personnel management guidelines and standards by updating policies, procedures, and intranet regularly.
  • Work with campus offices, such as Professional and Continuing Education Enrollment, Native Pathways Program, Tacoma, Graduate Programs, Payroll and Benefits, Human Resource Services, Office of Information Technology, Curriculum Team, and Academic Budget office to ensure timeliness and accuracy in support of faculty employees.
  • Initiate and provide work process coverage for the Faculty Personnel team positions during peak times of the annual cycle.


Faculty Contract, Status, Personnel File, and Directory Management

  • Oversee and maintain systems, such as Banner, Excel, etc. to track faculty contract requirements, teaching and non-teaching assignments, required trainings, review statuses, evaluations, and reports.
  • Work with the Vice Provost of Academic Budget and Operations, curriculum deans, and faculty hiring staff to support the tracking, creating, and reporting for adjunct and regular faculty contracts.
  • Compile contract data into contracts spreadsheet, generate contracts and salary letters via mail merge, and update supervisor with any issues.
  • Create and maintain faculty contract templates.
  • Manage the faculty personnel files per state record retention schedules with assistance from the Faculty Personnel team.
  • Manage faculty directory updates with assistance from the Faculty Personnel team.
  • Manage forms for deans to fill out with rehire, new hire, load adjustment, and emergency hire information.
  • Maintain and update the deans groups and administrative unit faculty affiliations for support and reporting purposes.

Faculty Review Management

  • Initiate and coordinate regular and adjunct faculty reviews, including conversion, reappointment, 3rd year, annual, and five-year review processes based on the faculty Collective Bargaining Agreement, Faculty Handbook, and other college policies.
  • Manage the notification process to the Washington Center, dean, and directors for initiating the faculty review cycle.
  • Provide initial scheduling support for annual, conversion, and reappointment, including coordinating and scheduling panel review meetings, evaluation conferences, and program visits for deans.
  • Create, analyze, and interpret reports based on faculty contract data.

Technical

  • Knowledge of federal and state laws and human resource rules, policies, regulations, and procedures, including non-discrimination, affirmative action, confidentiality, pre-employment inquiries, etc.
  • Knowledge of higher education faculty personnel workflows and processes.
  • Knowledge of hiring and employee contract processes and systems.
  • Knowledge of higher education academic issues, policies, practices, and support systems for students, faculty, and staff.
  • Ability to monitor and track budgets both allocations and expense management.
  • Ability to write and run rules in Microsoft Excel to prepare monetary pay and credit load for faculty contracts.
  • Ability to work with and present qualitative and quantitative details accurately daily.
  • Ability to lead efforts to research and prepare reports, including the analysis, organization, and effective presentation of quantitative data, such as hiring patterns, faculty history of employment, and faculty training.
  • Ability to manage, supervise, and oversee faculty personnel operations and staff.
  • Excellent written communications skills, including editing, writing, and proofreading.
  • Skill and ability to use standard office equipment, PC and Mac operating systems, and a variety of programs/software, such as Microsoft Office 365 (i.e., Teams, Forms, SharePoint, Word, Excel, Outlook, PowerPoint, etc.), applicant tracking systems, central databases, and website content management tools.
  • Ability to train others in using software and web-based tools.
  • Ability to create and maintain multiple electronic and paper information files following Washington State Records Retention policies.

Minimum Qualifications
Desired Qualifications

  • Bachelor's degree.
  • Five years of professional experience in academic administration.
  • Two years of supervisory experience.

Conditions of Employment

  • Must provide proof of identity and employment eligibility within three days of beginning work.
  • This position is part of a bargaining unit and covered by a collective bargaining agreement.
  • Prior to an official offer of employment, a Declaration Regarding Sexual Misconduct form must be submitted to the college per RCW 28B.112.080. The college will contact current and past employers to verify this information.
