Position Highlights

The Department of Disability and Psychoeducational Studies (DPS) in the College of Education (COE) welcomes applicants for the position of DPS Program Coordinator. We are seeking a highly motivated, self-directed, innovative, and experienced program coordinator to join our dynamic admin team.

This position involves multifaceted responsibilities, requiring organizational skills, attention to detail, excellent writing and verbal communication skills, problem-solving abilities, collaboration, the ability to work independently within a team, and efficient management of varied tasks to ensure the smooth operation of the academic department.

This position will be supporting over 30 faculty, LTAs, staff, GAs, and over 100 graduate students.

This position also provides administrative support for community related outreach programs and enrollment. Primarily operational support, logistics, they monitor enrollments and provide this information to faculty chairs and the department head so those individuals can make decisions about opening sections, combine sections, assigning additional TA's etc.

Duties & Responsibilities
  • Offer professional level support to a variety of faculty, program directors, etc.
  • Serve as the point of contact for Faculty, Department and Department Head.
  • Draft and facilitates smooth routine and daily business communication within departments, university colleges, and external parties.
  • Serve as a liaison between employee and the DRC for accommodations, interpreters, accessibility.
  • Assist program area faculty leaders with administrative issues. This supportive function includes ordering supplies and resources for faculty who are teaching and/or researching, responsible for making copies, utilizing shared calendar to help faculty schedule departmentally controlled rooms for meeting as requested.
  • Perform work to maintain ListServ and key issuance.
  • Provide logistical and operational support for department organized activities for students like orientations.
  • Create and manage Qualtrics Surveys and Reports under the guidance from the faculty they support.
  • Support for program accreditations and maintenance of Practicum/Internship records by formatting and proofing reports and tracking maintenance records.
  • Maintain scheduling of program meetings, faculty schedules, etc. Handling confidential information and communication and other delicate matters.
  • Supporting program initiatives on behalf of faculty/program by doing administrative tasks such as compiling information, building out timelines, coordinate with staff to gather needed reports, memos, etc.
  • May assist with OPS, under the guidance of the Business Office team.
  • Room and Course scheduling requests, time approval (including course changes and updates).
  • Support the Program Director's efforts by reviewing documents and forms for accuracy and consistency, monitor deadlines and deliverables in a timely manner.
  • The Coordinator is responsible for supporting communication between the programs/department/faculty and those accrediting bodies.
  • Perform a variety of specialized administration responsibilities to support programs in various areas including Deaf Studies, Counseling, School Psychology and Special Education.
  • Provide administrative support for community related outreach programs and enrollment.
  • Gathering and monitoring budget allocations in order to ensure appropriate expenditures within budget.
  • Provide guidance for faculty on how to appropriates expend their budget and resources.
  • Coordinate and collaborate in routine grant funded transactions, follow up with faculty and/or PI to receive the appropriate signatures on reports as needed.
  • Complete department financial transaction processing (e.g., OPS, travel arrangements, professional memberships, reimbursements, P Card reconciliations, invoices, operational advances, purchasing, conference registration, professional memberships, etc.).
  • Comprehensive support for undergraduate and graduate students, including liaison with Grad College, SLATE, RCW-GCF Awards, GradPath, and Grad App processes.
  • Assist with student orientation by setting up, assisting with the logistics for the orientation.
  • Coordinate interviews and events by reserving rooms, assisting with the logistics for the event, may assist put together an agenda.
  • Manage student enrollments, course maintenance, and funding placeholders.
  • Provide logistical support for student recruitment (sending out emails as requested, ordering light refreshments, making room reservations and ordering tech support).
  • Provide course enrollment information to program chairs and department head, so that the department can make decisions about course offerings.
  • Training and ongoing mentoring of fellow Program Coordinators and student workers.
  • Provide backup for fellow Program Coordinators as needed.
  • Other duties as assigned

Minimum Qualifications
  • Bachelor's degree or equivalent advanced learning attained through experience required.
  • 1 year of relevant work experience required.
Preferred Qualifications

  • Proficient experience with UArizona policies and procedure.
  • Experience with University of Arizona systems such as: UAccess Student, UAaccess Employee, UAccess Analytics, and UAccess Financials.
  • Demonstrated experience in effectively working across department.
