The Nicholson School of Communication and Media:

The Nicholson School of Communication and Media (NSCM) is an interdisciplinary school that includes Communication, Film and Mass Media, Games and Interactive Media programs and the Florida Interactive Entertainment Academy (FIEA).

The Opportunity:

The UCF Nicholson School of Communication and Media is currently accepting applications for an Administrative Coordinator I. This role will provide essential administrative and operational support to the school, while assisting the director in all aspects of managing the school. Duties include assisting faculty, staff, visitors, preparing documents and reports, compiling records, scheduling meetings, organizing and maintaining information, and providing high-level administrative assistant to executives.

Responsibilities:


  • Coordinates All School Meetings twice a year, including scheduling, logistics, and food ordering. Plans and executes the End-of-the-Year Event, including ordering awards and plaques. Schedules and manages Open House visits at the main campus.

  • Serves as the primary receptionist at the NSCM main campus Information Center, ensuring a welcoming and professional environment for students, faculty, and visitors. Responds to general inquiries, provides accurate information, and directs guests to appropriate locations. Assists with the management of faculty listservs and distributes director's messages upon request. Facilitates the process of securing guest parking passes for faculty-invited visitors to campus.

  • Maintains functionality of copiers and printers, manages all incoming and outgoing mail for the main campus. Oversees the tracking and distribution of office keys and workspace assignments. Monitors inventory and orders general office supplies.

  • Responds to facility-related concerns by contacting the building manager for issues such as HVAC, pest control, custodial services, or lighting. Coordinates document shredding services with Shred-it (Stericycle).

  • Provides administrative support to the Film and Mass Media programs, including the associate director, program coordinators, faculty, and students. Sends regular textbook order reminders to faculty.


Minimum Qualifications:

Bachelor's or Master's degree and 0+ years of relevant experience or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219. Click here for more information.

Preferred Qualifications:


  • At least one year of progressively responsible administrative support experience in a professional office setting.

  • 2+ years customer service experience.

  • Proven track record of supporting leadership in higher education.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other office productivity tools.

  • Familiarity with enterprise-level administrative systems used for finance, HR, or academic operations (such as Workday, PeopleSoft) is a plus.

  • Exceptional written and verbal communication skills, including experience handling sensitive or confidential information with discretion.

  • Excellent organizational skills with the ability to manage multiple competing priorities in a fast-paced environment.
