Choice Legal is searching for a dynamic Process Serving Specialistto join our team at our Tampa, FL office! We are looking for a candidate who works well independently and is highly self-motivated. If you are a data entry expert and like working in a fast paced environment, we have the job for you!

In this role, you willassign legal documents to be served by a network of vendor Process Servers, or in-house Independent Contractor Process Servers. The Process Serving Specialist also processes invoices and field sheets received from Process Servers, maintains timely contact with Servers for updates on the status of serves and pending proofs of service or non-service, as well as provide clients with status updates regarding completed or incomplete serves. Additionally, documents are sent to the appropriate Court for filing, and checks are issued for witness fees and/or other advance fees. The primary objective of the Process Serving Specialist is to establish rapport and ongoing communication with all Process Servers to ensure timely and accurate handling of all service of process, and with ordering clients to keep them apprised of the status of the serve.

You'll be the unsung hero behind the scenes, expertly managing the flow of incoming legal documents. Your organizational skills will keep everything running smoothly, making a real impact every day.

ESSENTIAL JOB FUNCTIONS



  • Assign to the appropriate Process Server, or mail to remote areas.
  • Process incoming Invoices and field sheets received from Servers to ensure that all applicable charges are applied in the computer systems and that Process Server's invoices are submitted timely to Accounting for the correct amounts.
  • Enter status into the computer systems by documenting all conversations and correspondence with Process Servers and/or clients.
  • Maintain an organized bin rotation of all serve only and AOS work orders in your control, as defined by office procedure.
  • Contact Servers for updates on the status of serve, as well as the AOS or AONS document, as defined by office procedure.
  • Provide clients with updates regarding the status of serves.
  • Issue checks for witness fees and other advance fees.
  • Maintain contact between counterparts in the other Florida office.
  • Route work orders to the billing department in a timely manner, as defined by office procedure.
  • Update process server database.
  • Perform internet research as needed to locate a physical address and/or registered agent for business entities you are required to serve.



Qualifications

Education and/or Experience

High school diploma or equivalent required. Some college desirable but not required. Prior work experience in an office setting preferably in a process serving, legal, or an insurance claims office.

QUALIFICATIONS



  • Must be a qualified typist with a minimum of 45 W.P.M.
  • Must demonstrate self-motivation and direction.
  • Ability to adapt to change and absorb new ideas and concepts quickly.
  • Must demonstrate good analytical and problem-solving abilities.
  • Must be able to maintain confidentiality.
  • Ability to effectively prioritize and execute tasks in a high-pressure environment.
  • Must demonstrate some understanding of the internal processes of medical facilities and med-legal terminology.
  • Ability to follow all company policies and procedures in effect at time of hire and as they may change or be added from time to time.



LANGUAGE/COMMUNICATION SKILLS



  • Ability to read, analyze and interpret common correspondence and records.
  • Ability to write clearly and informatively to all required audiences and edit own work for appropriate spelling and grammar.
  • Ability to respond appropriately and professionally to all inquiries or complaints from customers, regulatory agencies, upper management, and/or members of the business community.
  • Ability to handle phone calls and have excellent telephone communication skills, bilingual a plus.
