POSITION SUMMARY:
We are seeking a professional, friendly, and detail-oriented Office Services Assistant to manage our front desk and provide administrative support to our support departments including HR, Accounting, Marketing and IT. This role includes managing incoming calls and routing them to the appropriate team members, greeting and assisting clients and guests, handling mail and package deliveries, and supporting other administrative tasks as assigned.
MAJOR RESPONSIBILITIES:
DAILY
- Open the switchboard at 8:00am and answer and route all incoming phone calls until 5:00pm.
- Professionally greet and guide visitors, providing support with trade partners' check distribution and project deliverable intake.
- Receive and distribute incoming mail, packages, deliveries and distribute faxes via email.
- Maintain a clean, organized, and welcoming reception area, as well as break areas on both floors. Ensure cabinets are tidy and stocked with supplies, and coordinate regular cleaning and organization of refrigerators
AS NEEDED
- Post office birthdays and anniversaries via internal channels monthly.
- Act as primary liaison for office supply vendors and maintain an organized inventory of general office supplies.
- Maintain break area equipment (vending, ice machine, coffee) and call for maintenance
- Maintain office floor plan
- Assist with meeting logistics including room set up, supplies, catering, and cleanup.
- Maintain asset tracking information for IT and assist with equipment (phones, iPads and computers) requests and distribution
- Distribute security codes and perform administrative tasks including data entry, scanning, mass mailings, and creating or formatting documents using Microsoft Office programs (Word and Excel).
- Responsible for managing company stationery (business cards, letterhead, envelopes)
- Other administrative duties as assigned
POSITION REQUIREMENTS:
- High school diploma or equivalent
- Ability to work in office Monday-Friday from 8:00am - 5:00pm
- Strong organizational skills and attention to detail
- Ability to multi-task and prioritize
- Ability to stand, sit, bend, twist and lift up to 25lbs regularly
- Good written and verbal communication skills
- Professional presence and customer-service mindset
- Ability to work independently or as part of a team
- Prior administrative experience a plus
