Summary

Supports the Inpatient Access Team, including liaisons, financial services, and clinicians, with admission process clerical and organizational requirements. Maintain pre-registration workflows and communications including initiating patient's EMR chart. Assists with coordination between inpatient clinical teams and inpatient access team and ensures timely delivery of information for safe transfer of patient health information and details to facilitate admissions. Receives, records and communicates intake of new consults to correct Access teams. Assists with departmental projects and quality assurance as requested, including maintaining stock and assembly of marketing materials used by liaison teams daily.

Essential Job Responsibilities

  • Triages incoming referral phone calls for all MFB service lines. Act as the 1st line, or "face", of Mary Free Bed for patients, internal and external customers, taking messages, appropriating calls, and consultation intake from providers.
  • Meticulous and efficient data entry with focus on accuracy and timeliness to support throughput of the admission process.
  • Accurately collect and analyze all required demographic, insurance/financial, and clinical data elements necessary to pre-register and register all types of patients, including identifying and correcting errors in patient and legal information.
  • Assists department leadership in maintaining and verifying inpatient census management.
  • Access, navigate and interpret multiple reporting platforms including internal websites, electronic medical records, and data analytics and reporting.
  • Follows team policies and procedures and provides feedback to team leaders for updates to best practices in collaboration with the access department.
  • Database record initiation and maintenance in eRehabData and Epic for accuracy in data collection.
  • Maintains stock and compiles marketing materials for distribution to patients and referral sources by clinical liaisons.
  • Distributes critical system wide reporting information under set timelines daily.
  • Fosters a supportive team environment which includes encouraging and uplifting messaging in all communications who within their team and across all other teams they may communicate with via verbal, written, electronic, or telephonically throughout the day.
  • First and foremost, provide a stable, trustworthy and supportive team atmosphere to facilitate inpatient rehabilitation admissions for our patients, Access team, and internal and external community customers.
  • Weekend and Holiday schedule rotation with flex days.

Essential Job Qualifications

  • High School Diploma or equivalent experience
  • Excellent telephone and customer service skills
  • Excellent problem solving/critical thinking skills

  • Ability to communicate effectively and professionally via electronic and phone communications
  • Able to work as a team and/or independently, while being productive and accountable when self-directed
  • Dependability, punctuality and pride in work
  • Previous health care experience, preferably 1 year or more
  • Familiarity with computers and programs such as Word, Excel, Outlook

Preferred Job Qualifications

  • Associate's degree or certificate program/training in healthcare related field.
  • Knowledge of medical terminology
  • Knowledge of Epic EMR system
  • Knowledge of physical rehabilitation
