Position Summary
This position oversees Registration Services and Immunization functions, along with Continuing Education and intercampus/concurrent student programs, ensuring accurate enrollment records, tuition assessments, and compliance with university policies. The role involves auditing student data, managing tuition appeals and coordinating immunization compliance with the Illinois Department of Public Health. Additionally, the position provides technical expertise, creates and maintains operational procedures, and serves as the primary contact for campus units, students, and external stakeholders regarding enrollment and tuition matters. The position also ensures compliance with all relevant policies and works to streamline processes for improved efficiency.

Duties & Responsibilities

  • Registration Services Administration Lead non-standard registration processes for Continuing Education.
  • Oversee the enrollment for intercampus/concurrent student programs.
  • Act as primary contact for regional contacts (satellite programs, nursing and medical school).
  • Assist in preparing written documentation and operational procedures for new systems. Coordinate the development of procedure manuals.
  • Support Associate Registrar with AITS Banner upgrades for the student registration system.
  • Determine administrative forms usage at UIC. Test function and configuration for setup and implementation at UIC.
  • Evaluate internal operational procedures and systems and make recommendations or improvements as necessary.
  • Work with other campus units, students, faculty and parents concerning issues related to student enrollment, tuition and other related matters.
  • Interpret and enforce university policies and procedures.
  • Interact with the Bursars Office and Office of Student Financial Aid in matters related to tuition waivers and proper assessment of tuition.
  • Provide expertise and leadership in office functions, i.e., tuition and special program registration.
  • Create and run data reports for Office of the Registrar and departments across campus.
  • Audit information on student data; confirm and verify accuracy.
  • Immunizations Lead immunization compliance, data reporting and training to ensure compliance with the Illinois Department of Public Health policies.
  • Submit Illinois Department of Public Health required immunization compliance file.
  • Interpret Illinois Department of Public Health's exemption policy for health, religion, philosophical reasons. Determine exceptions to state policy on compliance deadlines or other compliance issues.
  • Coordinate software implementations and updates
  • Tuition Processing Review and process student petitions for tuition appeals
  • Audit tuition and fees to ensure each program is assessed based on criteria (range of hours, admit term and rate code).
  • Perform other related duties and participate in special projects as assigned.


  • Minimum Qualifications
    Bachelor's degree required.

    3+ years of progressive experience in a Registrar's Office or similar academic setting.

    Knowledge of FERPA regulations and student record confidentiality.

    Proficiency in Microsoft Office and Adobe Acrobat for document updates and security.

    Preferred Qualifications
    Strong problem-solving, organizational, and communication skills.

    High attention to detail, with the ability to manage tasks and learn new software.

    Experience with Ellucian Banner or similar academic systems.

    Ability to collaborate with faculty, staff, students, and alumni.

    Experience in staff training and oversight.

    Knowledge of system data warehouse (data reports) and data analysis.

    Understanding of Illinois Department of Public Health policies.
