Overview

SUMMARY OF POSITION

The Distribution Coordinator is required to facilitate various activities that occur in the distribution office and assist the office personnel in other capacities as required. Distribution activities include being responsible for answering the gate phone and helping drivers, updating the Outbound Shipping Boards pick-up schedules, balancing our current on-hand supplies lists, and scheduling inbound appointments for Raw/Finished Goods. In addition, this position will keep track of reporting requirements and perform shipment planning activities as needed.



Responsibilities

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

    Answer gate phone assign drivers to correct dock doors, and check trailers in system. Handle the shipping/receiving window when drivers come into building.
  • Effectively execute duties that will lead to improved receipt of material in a timely and accurate basis and enable the logistics center to staff accordingly, including scheduling inbound receiving appointments.
  • Provide feedback to Sourcing Department, Quality Control Department and Transportation Manager regarding vendor compliance/shipments quality, as well as carrier performance as it relates to schedule accuracy and proper information.
  • Initiate and update daily inbound container log and submit to Sourcing for priority listing.
  • Management of Domestic receiving log.
  • Responsible for updating the Outbound Shipping boards with trailer and Dock Door information, update available pick tasks, and make sure loaded outbound trailers are removed from doors and put into the yard and empty trailers (needed for future time slots) are placed into doors to be loaded.
  • Shipment Plan as needed (waving orders, web-routing, planning orders, etc.).
  • 3rd Party Shipment creation.
  • Manage pallet inventory and order as needed.
  • Reconcile CHEP pallet usage and balance on CHEP's website.
  • Print Value-Added Service labels for Customers as needed.
  • Update weekly performance reports / monthly individual performance reports / and employee report cards.
  • Develop and manage an accurate filing system for reports.
  • Purchase office supplies as needed.
  • Purchase warehouse supplies as needed (stretch wrap, slip sheets, hand wrap, gloves, and knives, etc.).
  • Manage the Radio Frequency (RF) Scanner Maintenance.
  • Organize signed Bills of Lading.
  • Work with Shift Managers to resolve problems.
  • Achieve individual and team goals.
  • Participate in continuous improvement activities.
  • Daily decision making based on daily workload.
  • Knowledge of customer compliance programs.
  • Communicate effectively with other departments.
  • Attention to detail on driver's paperwork.

JOB REQUIREMENTS

  • High school graduate or GED required.
  • 1-3 years knowledge of distribution operations preferred.
  • Strong leader with good interpersonal and problem-solving skills.
  • Knowledge of Microsoft Windows, with intermediate level skills in Microsoft Office (Excel, Word, PowerPoint).
  • Good communication skills, both written and verbal.
  • Strong organizational and analytical skills.
  • Ability to prioritize tasks and handle multiple tasks with changing priorities.
  • Self-motivated and energetic.

  • Ability to work in front of a laptop or PC workstation for extended periods of time
