Job Summary:

The Manager, Clinical Training & Workforce, works closely with the Director of Clinical Training and Workforce Development and is responsible for overseeing the lifecycle of grants and funding that support the Society's clinical fellowship training and medical student mentorship initiatives from application and award to reporting and closeout. This role ensures the successful administration of grant proposals, compliance with Society policies and requirements, budget and payments oversight, and coordination with faculty mentors, fellows and mentees, Society staff, and fellowship and mentorship sites.

The ideal candidate brings expertise in grants management and budgets, experience in grants management systems, and strong interest in advancing medical education.

Main Responsibilities:

Clinical Grant Management and Compliance

  • Track deadlines, reporting requirements, and renewal opportunities for clinical awards

  • Oversee Flux technology to deploy, monitor, and manage the infrastructure for an external data request platform, ensuring seamless integration and secure handling of dataset requests for the Society

  • Maintain current knowledge of Society policies for all grant funding programs and work collaboratively across Society departments to ensure continuity and equity

  • Support external grant applicants, clinical team, and clinical volunteers by answering questions about the Society's clinical policies and procedures, technology support, financial inquiries, status, payments, compliance, and expense report reimbursement

  • Process grant applications according to established policies, standards, and timelines

  • Maintain data integrity by ensuring grant and financial data is accurately input and linked within the grants management database

  • Support clinical reviewers and staff in coordinating review meetings

  • Process, prepare, send and track agreements, documentation, and amendments sent to grantee/organization signatories

  • In collaboration with clinical and services staff, process administrative changes to existing grants/contracts including no-cost extensions, transfers, re-budgeting, and related administrative activities

  • Communicate altered timeframes, milestones, and payment schedules to appropriate staff and leadership

  • Coordinate review and receipt of required annual compliance activities

Budget and Financial Support

  • Prepare and manage budgets for grant-funded clinical training and workforce programs.

  • Manage grant transfers to awardee institutions, medical student and psychology student mentees

  • Request, track, and ensure all refunds for unexpended grant monies

  • Schedule and maintain payment schedules and associated budget accrual years, including placing payment holds for non-compliance

  • Track, coordinate, and approve annual financial reporting for compliance

Program Coordination Support

  • Support the implementation of clinical fellowships and mentorship programs

  • Maintain accurate records of fellow and student participation, milestones, and outcomes

Stakeholder Communication

  • Liaise between mentors, fellows, mentees, institutional departments, and Society staff

  • Draft progress reports, funding updates, and related communication for internal and external audiences

  • Support dissemination of program impact (e.g., publications, presentations, newsletters)

Process Improvement

  • Identify and streamline grant management processes

  • Maintain grant management database and documentation systems

Team Responsibilities

  • Contribute to team meetings; provide support and feedback to colleagues

  • Utilize matrix management techniques to foster relationships across the organization

  • Serve as a key point of contact for internal and external stakeholders regarding clinical content and resources

  • As appropriate, represent the Society on boards, work teams, committees and other internal or external groups

  • Serve as a subject matter expert on issues relating to clinical content or health care professional education

What We're Looking For:

  • Bachelor's degree in a health-related field and a minimum of 6-10 years of relevant experience in the non-profit and healthcare industries

  • Acquaintance with the Fluxx Grants Management platform a plus

  • Strong skills in communications, relationship-building, influencing, problem-solving and strategic thinking

  • Substantial familiarity with non-profit and healthcare industries

  • Experience in a healthcare system or academic medical center preferred

  • Experience developing provider directed materials and educational content with proven metrics of success

  • Strong understanding of clinical guidelines, evidence-based practice and healthcare regulations

  • A demonstrated leader and people manager, with professional credibility, and ability to collaborate and cultivate relationships with internal and external constituents, and to represent the Society externally

  • Ability to apply professional discretion and judgment to sensitive situations involving a diverse set of stakeholders with competing priorities

  • Strong interpersonal, emotional intelligence, and negotiation skills

  • Excellent oral and written communication skills

Compensation | Benefits:

The estimated hiring compensation range for this role is $58,000 - $75,000. Final offers will be based on the candidate'sgeographic location, consider career experience and may vary from this range due to these and other factors.
