JOB TITLE: Office Coordinator/Billing Clerk - Outpatient Clinic

REPORTS TO: Business Office Manager or Manager of Physician Services

EXEMPTION STATUS: Non-exempt

POSITION SUMMARY: Acts as the face of WBI Outpatient by using Service Excellence to greet guests and direct them to the correct provider. Provide welcoming greeting and environment to facilitate effective Outpatient treatment, including answering questions, providing appointments, answering telephone calls, providing billing and patient information as needed.

REQUIREMENTS: Must be 21 years old and hold a minimum of a high school diploma. Prefer 1-3 years in a medical office setting as a receptionist, Medical Assistant or other support services role. Highly prefer candidates with medical billing experience and knowledge of insurance and benefit plans.

ENVIRONMENTAL CONDITIONS: General office environment, computer and other office equipment

Physical Requirements: Ability to communicate verbally and in writing. Repetitive motion for typing and manual dexterity to access filing systems. Push, pull and lift up to 40 pounds. Intermittent sitting, standing, walking, bending and stooping. Drug and alcohol free as evidenced by negative results of post-offer, pre-employment urine drug screen.

FUNCTIONS:

Essential Functions:

  • Follow the Clinic guest relations policy when greeting and assisting all visitors.
  • Contact patients by phone to make appointments, remind patients of appointments and to obtain basic data for clinic follow up.
  • Categorize, enter, track and follow up on Outpatient and IOP billing, paperwork, insurance, etc.
  • Answer and disseminate all incoming calls in a professional and courteous manner within three rings.
  • Announce calls to appropriate person as required.
  • Attend IOP huddles, twice weekly
  • Verify insurance for outpatient services and complete payment agreements
  • Manage and complete records requests for Outpatient services
  • Coordinate with Mental Health Aides in School Districts to obtain and verify insurance and payment agreements
  • Provide clerical support to chart clerk/cashier as required.
  • Collate admission folder as required.
  • Obtain pertinent Release of Information for each person and send releases to referral sources.
  • Ensure that there is an adequate supply of admission folders.
  • Provide clerical support to clinical staff, writing letters, chart completion, data collection.
  • Complete other clerical projects as assigned.
  • Provide data processing support to Clinical and hospital personnel, ensuring proper organization and scheduling of all requests.
  • Maintain computer hardware and software according to corporate compliance standards and guidelines.
  • Request the assistance of supervisor as needed.
  • Ensure that the patient information files are current.
  • Gather all necessary patient paperwork and enrollment needs.
  • Schedule patient appointments accurately.
  • Make new patient packets accurately.
  • Provide data processing support to clinic personnel, ensuring proper organization and scheduling of all requests, which facilitates the meeting of all request deadlines.
  • Submit medication authorizations.
  • Follow up with WBI providers on refill requests and other patient needs.
  • Provides data processing support for accounting activities to include:
    • Provide support with the data entry of receivables and payables.
    • Provide assistance with patient account maintenance.
    • Help with input of all changes, payments and adjustments to patient accounts.
    • Input and fax bills to main office on daily/weekly basis.
    • Provide support with filing as requested.
