Overview

We're seeking a detail-oriented and organized Talent Acquisition Support Specialist to provide vital administrative support to our recruiting team. In this role, you'll help ensure seamless hiring and onboarding by coordinating recruitment activities, managing new hire documentation, and maintaining key HR systems. Flexibility is important, as occasional overtime may be required during busy periods. Additional duties may be assigned to support the success of the team.

  • Position may be located at either our Rockford or Janesville HR Site

Responsibilities

Recruitment and Sourcing Support:
* Assist with recruitment activities such as scheduling of interviews, reference checking, and primary source verifications.
* Schedule job shadowing and mentoring requests

Onboarding and New Hire Management:
* Support the onboarding process for news hires, ensuring a smooth and welcoming introduction to Mercyhealth.
* Proactively follow up on incomplete onboarding tasks and missing documents.
* Prepare for and assist with new partner orientations, including room set up, preparing new hire packets, and collecting I9 documents.
* Process and maintain all employee documentation and records, such as licenses, certifications, background checks, and DOT checks.
* Complete I-9 verifications through E-Verify and manage re-verifications as needed.

Administrative and System Support:
* Serve as primary point of contact by monitoring the Talent Acquisition phone line and HR front door, directing inquiries to the appropriate team member.
* Provide administrative and operational support to the Talent Acquisition team to ensure continuity and efficiency.
* Manage and respond to inquiries received in the Careers mailbox in a timely manner.
* Maintain and update employee databases to ensure all information is current and accurate.
* Serve as a key support for HR systems, assisting with data entry and system-related tasks.


Education and Experience

  • High school diploma or equivalent.
  • Experience working in a Human Resource department preferred
  • Experience with Workday a plus

Special Physical Demands

While performing the duties of this Job, the employee is regularly required to use hands to finger, handle, or feel; reach with hands and arms and talk or hear. The employee is frequently required to stand; walk and sit. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision.
