Position Summary
Faculty Support Specialist - Academic Affairs
Winston-Salem State University ( WSSU) is committed to fostering academic excellence, student success, and community engagement. The Office of Faculty Affairs ( OFA) plays a central role in supporting the development of a distinguished and vibrant faculty that contributes to a thriving academic community at WSSU. In partnership with faculty and administrators, the OFA oversees key areas such as faculty recruitment, appointments, tenure and promotion, and academic leadership development. The faculty is the core of the university, and the OFA is dedicated to addressing the diverse needs of all academic units in alignment with WSSU's mission to promote student development through excellence in teaching, scholarship, and service at this historically Black institution within the University of North Carolina system.


Key Responsibilities of the Faculty Support Specialist position:


  • Faculty Lifecycle Support:

    • Coordinate onboarding of new faculty, including contract preparation, background checks, I-9 verification, E Verify, and orientation logistics. Manage visa documentation for visiting scholars and foreign-national faculty appointments.
    • Ensure the timely preparation, collection, and review of materials for reappointment, tenure, promotion (RTP) dossiers, post-tenure reviews, and phased retirements, in compliance with institutional and procedural deadlines.
    • Collaborate with the Center for Innovative and Transformative Instruction (CITI) and Student Success Collaborative to coordinate professional development programs that enhance faculty success and engagement with the university community.




  • Policy Compliance:

    • Maintain accurate and up-to-date faculty records while ensuring adherence to UNC System and WSSU policies, procedures, and deadlines related to faculty affairs.
    • Assist in data collection and reporting for accreditation, compliance, and institutional research purposes.



  • Process Improvement & Collaboration:

    • Identify and implement opportunities to streamline workflows and enhance efficiency within faculty support processes.
    • Work closely with key departments-including HR, Academic Affairs, the Office of Information Technology, Finance and Administration, and departmental administrators-to ensure alignment and consistency in faculty-related operations.



  • Data Entry:

    • Manage graduate assistant assignments in collaboration with academic departments and the Graduate School, ensuring alignment with budgetary and academic eligibility requirements.
    • Process stipends, promotions, and other compensation for both Adjunct and Full-Time Faculty members.
    • Maintain secure, auditable records of faculty credentials, appointments, and contract renewals.



  • Administrative:

    • Serve as the primary point of contact for faculty inquiries related to logistics, resources, and operational support.
    • Assist in the coordination of academic processes, including course documentation and faculty assignments
    • Facilitate clear communication with faculty, department chairs, and university offices about policies, procedures, and deadlines.
    • Collaborate with institutional partners to deliver timely, consistent support to faculty.
    • Plan and promote faculty-focused events, including training workshops, recognition ceremonies, and academic retreats.
    • Prepare reports and presentations to support institutional effectiveness, accreditation, and strategic planning efforts.
    • Utilize systems such as People Admin, Banner, Faculty Success (Watermark), Faculty Load and Compensation (FLAC), and Canvas to track and support faculty activities and processes.

Required Qualifications

  • Bachelor's degree in Business Administration, Human Resources, Higher Education Administration, or a related field.
  • Minimum of two (2) years of professional experience in higher education administration, HR, or a related area.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and ability to learn institutional software systems (e.g., Banner, PeopleAdmin).
  • Demonstrated ability to work with confidential information with a high degree of discretion.

Preferred Years Experience, Skills, Training, Education
Preferred Qualifications

  • Master's degree in Higher Education Administration, Public Administration, or related discipline.
  • Three (3) or more years of experience supporting faculty affairs or academic administration within the UNC System or a comparable higher education setting.
  • Experience with faculty appointment, tenure, and promotion processes.
  • Familiarity with UNC System policies and regulations governing faculty employment.
  • Experience using enterprise resource planning (ERP) systems (e.g., Banner, PeopleAdmin) and electronic document management systems.
  • Demonstrated commitment to diversity, equity, and inclusion.
