Job Description

The Office of Trustee Relations Senior Program Manager is a pivotal role responsible for the efficient and effective administration and strategic support of the Board of Trustees and its committees. This position ensures seamless communication, robust governance practices, and the smooth execution of trustee-related initiatives. The Senior Program Manager will oversee critical processes, manage projects, and serve as a central point of contact for trustees, senior leadership, and internal departments, upholding the highest standards of integrity, confidentiality, and fiduciary responsibility.

Job Responsibility



  • Develop, implement, and manage a comprehensive program for trustee engagement, governance, and administrative support.
  • Oversee specific projects related to trustee onboarding, education, performance evaluation, and policy development.
  • Coordinate and manage the full lifecycle of Board and committee meetings, including scheduling, agenda development, material preparation and distribution, minute-taking, and follow-up on action items.
  • Ensure timely and accurate record-keeping of all Board proceedings and decisions.
  • Manage logistics for in-person meetings, including travel, accommodation, and catering, as needed
  • Maintain and update all governance documents, including bylaws, charters, policies, and resolutions.
  • Ensure compliance with all legal, regulatory, and internal governance requirements pertinent to the Board of Trustees.
  • Assist in the annual review and update of governance policies and procedures.
  • Support conflict of interest declarations and other compliance-related disclosures.
  • Serve as a primary point of contact for Board members, responding to inquiries and facilitating communication between trustees and staff.
  • Provides guidance to planning and implementation for a portfolio of programs and engages key personnel to deliver on departmental and health system initiatives;
    works across departments to coordinate complex projects and initiatives; develops, implements, scales and sustains program initiatives.
  • Responsible for aligning internal and external stakeholders and communicating project needs and milestones; develops program goals and objectives with
    measurable and actionable metrics.
  • Partners with leadership to develop tools and metrics to evaluate performance; partners with analytics team and collects data for review and analysis; prepares analyses, reports and presentations for management.
  • Actively monitors program key performance indicators and proactively addresses deviation from performance goals; prepares additional recommendations and
    adjustments to plan, as needed.
  • Designs, prepares and presents program assessment, data analysis, and strategy recommendations; develops project charters, project plans, business plans.
  • Collects clinical and financial data to assess performance; evaluates program performance, prepares dashboards and makes strategic program
    recommendations.
  • Conducts research on innovative new practices, identifies best practices and incorporates these ideas into program design; prepares operational analysis, flow
    charts, presentations and reports.
  • Presents analysis and recommendations to leadership; obtains feedback and collaborates with management to develop program improvement plans.
  • Monitors program plan performance and prepares status reports; supports partner and customer needs for organizational initiatives and client relationships.
  • Operates under limited guidance and work assignments involve moderately complex to complex issues where the analysis of situations or data requires in depth
    evaluation of variable factors.

Job Qualification



  • Bachelor's Degree or equivalent combination of education and related experience.
  • 3-5 years of relevant experience, required.
  • Experience in program management, executive administration, governance, or legal support roles, with a significant portion supporting a board of directors or trustees, preferred.
  • Demonstrated experience managing complex projects and initiatives from conception to completion.
  • Experience working in a fiduciary environment (e.g., wealth management, foundation, trust company) or highly regulated industry is a strong plus.


Working Environment:



  • Primarily office-based environment, hybrid schedule.
  • Requires flexibility for occasional evening or weekend work to support board meetings or events.
  • Occasional travel required for off-site board meetings (NYC, Long Island, Westchester, CT).
