We are hiring an Administrative Assistant to provide departmental support for the Heider College of Business. This role performs clerical, administrative, and general office duties of a responsible and confidential nature for the department, including telephone reception, budget assistance, meeting and event coordination, course override management, assistance with expense reimbursements and credit card reviews, and taking minutes at meetings. Responsible for coordinating many administrative processes and employs computer applications/software to make processes efficient and effective. Communicates with individuals across departments. Prepares reports and correspondence as necessary. Resolves most questions and problems independently and refers more complex issues to higher levels. Key Responsibilities:
- Provides word processing and administrative support through Word, Excel and other computer applications. Leverages computer applications to streamline and manage administrative processes in more efficient and effective ways.
- Provides support and coordination for events and meetings.
- Manages the course override process with department chairs. This includes gathering override requests, facilitating chair review and approval, coordination with multiple departments, answering emails, and assisting students with override issues.
- Assists faculty with expense reimbursements. Assists Dean's office with review of credit card transactions and statements and gathering receipts from faculty.
- Completes other duties as requested, e.g., summer preview assistance, cleaning up after students, answering phone calls, providing assistance to students and guests in the building.
Qualifications:
- High school diploma or equivalent required.
- 4 years' administrative experience required.
Knowledge, Skills, and Abilities:
- Deep knowledge of Microsoft Office products, Word, Excel, PowerPoint, etc.
- Ability to improve and streamline administrative processes.
- Ability to multi-task.
- Demonstrated customer service focus and ability to resolve conflict and deal with demanding individuals.
- Ability to think independently and analyze problems and reach solutions.
- Ability to work independently and anticipate required work and self-initiate projects that have periodic or cyclical deadlines.
