Job Description
Primary Purpose The Document Controller supports LNG terminal operations by managing the lifecycle of controlled documents to ensure safe, efficient, and compliant operations. This role ensures the integrity, accessibility, and traceability of PALNG information and facilitates the accurate creation, review, distribution, and archiving of operational, engineering, and project-related documentation. It serves as a central interface between terminal operations, engineering, project teams, joint venture partners, company affiliates, and external contractors. The Document Controller plays a critical role in maintaining regulatory compliance and supporting operational readiness through effective document governance. A critical responsibility includes safeguarding licensor intellectual property and proprietary information, ensuring secure handling in accordance with legal, contractual and confidentiality obligations, and company policy.
Duties and Responsibilities
- Manage the lifecycle of controlled documents including operating procedures, engineering drawings, specifications, vendor documentation, safety manuals, and project records.
- Administer and maintain the information systems for LNG terminal operations, ensuring compliance with company standards, regulatory requirements, operations, and project-specific protocols.
- Facilitate timely document reviews, updates, and distribution to support operational readiness and compliance; support Management of Change (MOC) processes by ensuring documentation updates are properly capture and implemented.
- Supports the coordination of new user onboarding, account creation, training, and access/permission approvals; provides end users support and assistance with researching or retrieving documents, basic use of information systems, and troubleshoots systems disruptions.
- Collaborate with legal, procurement, and operations teams to ensure proper handling of restricted and sensitive documents; enforce protocols to protect licensor intellectual property and proprietary information, including access controls, secure transmission, and compliance with confidentiality agreements.
- Monitor document retention schedules and support internal and external audits by providing accurate and complete documentation.
- Identify and implement improvements to document control processes, tools, and practices to enhance efficiency and compliance.
- Support document control activities related to terminal expansions and brownfield modifications.
- Performs other duties as assigned (no more than 5% of duties).
Qualifications
Education
- H.S. Diploma/GED. Required
- Bachelor's Degree Business, Information Management, Information Technology or Applied Sciences. Preferred
Experience
- 3+ years of experience in Engineering Document Control and administration of EDMS systems. Required
- 3+ years of experience in Project Document Control experience in the LNG, Oil & Gas, Energy Sector. Preferred
Skills and Abilities
- Proficiency working with Microsoft Office suite applications, Sharepoint Onine and O365. Intermediate
- Proficiency working with .pdf, AutoCAD, .csv file formats, electronic document management systems, data entry or other computer input preferred, quality management systems and processes. Intermediate
- Knowledge and understanding of business technology, technology platforms and integrations. Intermediate
- Knowledge and proven application of Document Control principles and practices. Beginner
- Excellent interpersonal, verbal, and written skills. Intermediate
- Knowledge and understanding of business process and Project Information Lifecycle. Beginner
- Strong communications skills. Intermediate
- Strong initiative with the ability to work independently as well as with a diverse, complex and broad project team. Intermediate
- Knowledge and understanding of PHMSA 49 CFR Parts 191, 192 and 193.
Licenses and Certifications
- Certified Document Controller (Consepsys). Required
- Aconex Accredited Associate. Required
- Business Process Management Specialist (AIIM). Preferred
- Modern Records Management Specialist (AIIM). Preferred
- Certified Records Analyst (ICRM). Preferred
Other Qualifications
- This role will provide integral support for Emergency Response scenarios to ensure the appropriate shut down, preservation, continuity, and/or resumption of information systems and related activities. This will include securing and preserving on site hard copy critical information assets and contributing to Business Continuity Plans (BCPs).
