With supervision from the Associate Head of Education and Education Office Manager, the Program Assistant will provide support with the planning, coordination and implementation of the programs within the Department of Psychiatry. Duties will follow established guidelines within the programs. The Program Assistant will serve as contact for the trainees concerning program requirements and guidelines. Will also assist in organizing activities involving recruitment, on-boarding, preparing and maintaining schedules, off-boarding, and on-going day-to-day activities.

Duties & Responsibilities:
  • Coordinate the daily functions of the programs and follow complex policies, procedures, and program guidelines.
  • Will work independently to identify, troubleshoot, and report compliance issues and assist in correcting situations.
  • Maintain proficiency in the databases that support the trainees' schedule, evaluations, vacation and time off.
  • Generates compliance reports as requested. Ensure compliance with accreditation, licensing board, professional association requirements.
  • Support and assist in coordinating the annual program recruitment and orientation activities. Includes all on-boarding activities.
  • Ensure new trainees are credentialed and on-boarded before starting the program.
  • Assists in completion of off-boarding and graduation activities following departmental and program guidelines.
  • Coordinate didactic schedules and evaluations.
  • Complete other program related forms, (verifications of training, credentialing, letters of good standing).
  • Perform other related duties and participate in special projects as assigned.


Minimum Qualifications Required:
  1. Bachelor's degree.
  2. Demonstrated knowledge of a variety of accreditation standards in the medical education field. Any experience in accreditation standards in the medical education field

Preferred Qualifications:
  • Two or more years of college work, minimum 6 months experience in higher education setting.
  • Organizational and analytical skills.
  • Good judgement abilities.
  • Excellent written and oral communication skills.
  • Proficient with Word, Excel and other platforms.
