Special Assistant to the CEO (Advance)

Job Overview:

The Special Assistant to the CEO is a key strategic and logistical partner who supports the Chief Executive Officer (CEO) and the executive leadership team. This role provides high-level executive support and project management, ensuring the CEO is fully prepared and positioned for success in meetings, events, and key initiatives. The ideal candidate is a proactive problem-solver with exceptional attention to detail and the ability to anticipate needs and act with discretion.

Reports to:

  • The Special Assistant (Advance) reports directly to the Chief of Staff, RWJBarnabas Health, with a matrixed reporting relationship to the system President and CEO, RWJBarnabas Health.

Qualifications:

  • Bachelor's degree from an accredited college or university
  • Two or more years of experience providing executive-level support in a fast-paced professional. Experience in healthcare or a nonprofit is a plus.
  • Exceptional time management skills and a proven ability to manage multiple tasks and competing priorities.
  • Strong verbal and written communication skills with meticulous attention to detail.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and a high level of comfort with technology and learning new systems quickly.
  • Demonstrated ability to think ahead, anticipate needs, and act with a high degree of proactive initiative.
  • Sound judgment, professional maturity, and the ability to handle sensitive information with complete discretion.
  • Collaborative, flexible, and team-oriented mindset.

Essential Functions:

  • Executive Support & Coordination
    • Serve as the primary point of contact for the CEO's daily operational and logistical needs.
    • Manage and coordinate the CEO's calendar and briefing materials in collaboration with the Chief of Staff and the executive team.
    • Prepare the CEO for all engagements by ensuring all briefing documents, remarks, and materials are accurate and delivered well in advance.
    • Produce a daily briefing report for the CEO detailing the next 24-48 hours of activities.
  • Logistics & Advance Planning
    • Lead logistical planning and coordination for the CEO's events and public appearances.
    • Conduct site surveys and collaborate with security and internal/external stakeholders to identify and resolve potential issues proactively.
    • Manage event spaces and briefing rooms ahead of CEO arrival, ensuring seamless transitions and providing efficient pre-arrival briefings.
    • Aid the Offices of External Affairs and Policy, the Chief of Staff and the Executive Administrative Assistant with logistical planning and coordination as needed.
  • Strategic Project Management:
    • Assist with special project execution on behalf of the CEO, Chief of Staff, and the Chief External Affairs and Policy Officer.
    • Collaborate with key internal teams to align priorities, gather requirements, and achieve project objectives.
