Department of Neurosurgery & Center for Tumors of the Nervous System:
The Administrative Coordinator supports the Mass General Brigham (MGB) Department of Neurosurgery and the MGB Center for Tumors of the Nervous System (CTNS) through a combination of administrative, communications, and event management responsibilities. This joint role works closely with the leadership in the Department of Neurosurgery and the CTNS, this role coordinates events and leads all marketing and communications initiatives, while supporting both groups administratively.
- High school diploma or GED is required, associate's degree preferred.
- Administrative support experience 3-5 years is preferred.
- Leadership level support experience 2-3 years is preferred.
- Proficient in using office productivity software such as word processing, spreadsheet, and presentation tools.
- Demonstrated professionalism, integrity, and the ability to handle confidential information with discretion.
- Ability to adapt to changing priorities and work effectively in a dynamic environment.
- Strong problem-solving skills to resolve issues and make sound decisions independently.
- Strong written and verbal communication skills to effectively interact with individuals at all levels of the organization.
- Excellent organizational abilities to manage multiple tasks, prioritize work, and meet deadlines.
Job Specific Tasks and Responsibilities:
- Support the Executive Administrator in needed communications, administrative projects, coordinate scheduling, meetings, and priorities to ensure efficient departmental operations.
- Assist in planning and executing academic conferences, patient education events, charitable initiatives, and other departmental gatherings for both the MGB Department of Neurosurgery and the CTNS.
- Streamline and assist with the creative development and management of the website, marketing efforts, announcements, press releases, and printed marketing materials within MGB guidelines.
- Update and maintain all printed and electronic materials and content, ensuring accuracy and usefulness; identify gaps, archive outdated content (Linktree), and prepare the internal newsletters (The Neurotransmitter & CTNS Newsletter).
- Collaborate with MGB Marketing to ensure department is maintaining all Elucid policies regarding social media, marketing, and public relations. Manage the department's external facing social media content on (Linkedin, Instagram, Tiktok, X, etc.)
- Oversee social media presence for CTNS, creating and scheduling engaging content that promotes the Center's mission, initiatives, and accomplishments.
- Promote the multidisciplinary mission of the CTNS by developing marketing and communications strategies that highlight the collaborative expertise of faculty across neurosurgery, neuro-oncology, pathology, radiation oncology, neurology, radiology, and related specialties.
- Showcase and amplify faculty accomplishments through digital content, newsletters, social media, and institutional channels, celebrating research achievements, clinical innovation, and educational leadership within the CTNS and Neurosurgery.
- Connect and collaborate with leaders in the MGB Cancer Institute and the MGB Neuroscience Institute to ensure cohesive communication and alignment on shared initiatives and events.
- Lead departmental marketing and communications meetings to ensure equitable representation across all materials and initiatives at both AMC's (MGH & BWH).
