Epic Application Coordinator -Orders Team

Monday-Friday (8:30-5)

In the office 1-2 days a month on a regular basis, additional days for Go Lives and Special Projects.

The Application Coordinator for the Orders Team is directly responsible for the methods by which providers manage patient orders at Johns Hopkins Medicine. They collaborate directly with clinical operational leadership, partnering to devise and implement innovative solutions, as well as maintaining existing infrastructure that supports thousands of end-users involved in the ordering and management of patient care.

General Position Summary: The Junior Application Coordinator (AC) participates in the development and design of the application(s) for which the AC is responsible and is required to gain an in-depth knowledge of the assigned Epic module(s).

Hybrid/Remote (Monday-Friday) 8:30am-5:00pm

This position requires one day per month regularly in the office. Also, there may be a need for weekend work for special projects and go lives

Demonstrates proficiency in understanding computer systems, applications, and interfaces.



  1. Demonstrates proficiency in data gathering techniques and the ability to design and communicate systems solutions to user issues and problems of medium complexity.





  1. Demonstrates an intermediate understanding of the relevant clinical and/or business operation functions.





  1. May require specialized knowledge in a specific application/module/computer system.





  1. Creates detailed work-related specifications, system design documentation, procedures, process flows, data flows and project and change management plans.





  1. Communicates effectively with users and colleagues. Conducts regular day-to-day communication with JHM teams and vendor installation teams.





  1. Demonstrates proficient degree of analytical skills.





  1. Supports multiple concurrent work efforts, educates and coaches other team members, and works with minimal supervision in support of team initiatives.





  1. Works as a member of a specific application team as well as with other application and technical teams.





  1. Responsible for developing and documenting the internal procedures that will be used in conjunction with applications.



Job Responsibilities:



  1. Analysis and Design: Employ proficient analytical skills to define systems requirements and objectives for system application and interfaces.





  • Communicate with project team members.





  • Identify data element needs for clinical and/or business operations.





  • Prepare written documentation of clinical and/or business operation workflows.





  • Draft project scope plans, project plans, and issue logs; monitor and report status of assigned project task plans to Lead project staff and/or manager.





  • Function as a liaison to the system users and stakeholders to translate clinical and/or business requirements into technical requirements, data flows and process flows.





  • Educate team members on clinical and/or business operations requirements, objectives and the relevant system applications or modules.





  • Set standards for naming and numbering conventions and security classifications.





  • Assist in developing risk mitigation strategies.





  • Provide support in developing reports, validating data, and developing control mechanisms.





  • Analyze new functionality in releases to determine how it should be used.



Application Configuration/Development: Work with the appropriate subject matter experts and other project team members in design, build, and validation sessions.



  • Provide technical expertise in the supported application. Work with application stakeholders to improve the effective utilization of the application.





  • Perform system administration and configuration.





  • Create and document appropriate unit test plans.





  • Understand how workflow decisions translate to application configurations.





  • Build system dictionaries and perform test system setups.





  • Populate databases during the initial system build with assistance from vendor.





  • Work closely with the technical support on issues of install choices, master file and category list set up, synonyms and preference lists, etc.



  • Testing and Implementation Skills: Assist with full system testing and go-live planning.







  • Develop with the Enterprise team for test scenarios/conditions.





    1. System Support: Support application during and after live process.






    • Prioritize and implement requested changes to the system.






    • Coordinate software updates and changes with users.






    • Review new vendor software releases and updates to help determine which features will be utilized.






    • Maintain rules for how each new version is released.






    • Analyze new functionality in new releases to determine whether or how it should be used.






    • Coordinate software updates and changes.

    • Report project issues and staff performance issues to Team Lead / Manager.






    • Frequently provide status reports.






    • Respond to vendor questions.





    Education: Baccalaureate degree, education or health related field with educational courses. Professional certification(s) and/or related experience beyond minimum training experience qualifications may substitute for formal education requirement on a two years' experience-for-one year education basis.


    Certifications: Required to complete and pass certification in assigned EPIC application module(s) within 120 days of employment in this role.


    Experience:





    • Two years operational experience in a clinical or healthcare business operations setting or two years' experience in Information Technology.






    • General understanding of the work flows in clinical or healthcare business operations.





    Preferred Job Qualifications:





    • Experience implementing clinical and/or healthcare business information systems in a large-scale and complex healthcare organization.






    • Epic certification in the module(s) being represented.






    • Experience in Epic installations.






    • Knowledge of the current healthcare environment preferred.






    • Experience in developing business and/or clinical workflows related to the assigned application module.





    Knowledge, Skills, & Abilities (KSA's):





    • Ability to handle analysis, design, system configuration and testing tasks at a low to medium level of complexity.






    • Ability to incorporate policies, procedures, and specific clinical practice and/or business processing needs into information systems training






    • Excellent customer service skills






    • Highly effective written and verbal communication and interpersonal skills to establish working relationships that foster optimal quality teamwork and education






    • Strong organizational skills in managing multiple priorities






    • Uses critical thinking skills regarding use of the clinical/business operations software applications






    • Detailed understanding of clinical/business operations workflows and system configuration gained by participating in validation sessions with project team members and assisting in system design.






    • Proficiency in Microsoft Office applications - Word, Excel, PowerPoint, with proficiency in Microsoft Visio and Project desirable.






    • Demonstrated expertise in technical design techniques for related software applications.






    • Demonstrated knowledge of project management principles as they relate to assigned tasks.





    Communication/Project Management: Identify key dependencies for assigned tasks and work to manage these to meet milestones. Educate and coach other team members and work with minimal supervision in support of team members on tasks of medium complexity.



  • Assist with creation and execution of system and integration test plans.





  • Assist in the preparation of the application live plan.





  • Participate in training and work with end users.





  • Aid trainers during user training.





Salary Range: Minimum 33.41/hour - Maximum 58.48/hour. Compensation will be commensurate with equity and experience for roles of similar scope and responsibility. In cases where the range is displayed as a $0 amount, salary discussions will occur during candidate screening calls, before any subsequent compensation discussion is held between the candidate and any hiring authority.
