- The Education Division at Saint Xavier University invites applications for a full-time secondary licensure officer and graduate advisor position in Education.
- Serve as secondary licensure officer for the Division of Education for IL Professional Educator Licenses
- Assist with evaluating transcripts to determine course equivalencies for Illinois State Board of Education (ISBE) mandated prerequisite and program and endorsement requirements
- Assist with inputting licensure data in SXU's data management system
- Provide advising for graduate student programs in the Division of Education
- Assist in the management and coordination of Residency placements for Alternative Licensure programs

Essential Duties & Responsibilities

Secondary Licensure Officer
- Assist in the development of licensure workshops for students in the Education Division
- Help to distribute information to students, faculty, staff and other university offices regarding licensure and ISBE related matters
- Respond to questions from candidates, faculty, staff and other university offices regarding licensure and ISBE related matters
- Assist in the management of student records related to licensure
- Provide licensure verifications as needed
- Assist with pre-student teaching audits
- Participate in ISBE licensure trainings/webinars
- Assist with the collection and analysis of data related to enrollment, licensure, content test scores, program benchmark requirements
- Complete other licensure-related duties as necessary to assist the Licensure Officer
Graduate Advisor - Assist in the recruitment, support, and retention of graduate students throughout the matriculation process
- Explain the graduate programs and provide all options for earning initial licensure to help students choose the best program to fit their need
- Monitor grades and connect students to appropriate academic supports
- Explain state testing and provide study guides and any additional information on how to prepare for testing
- Create and update tracking codes and other student data in university tracking systems
- Collaborate with Records and Advising with graduate transfer of courses from previous institutions for newly admitted students
- Assist with graduate program orientation sessions.
- Review transcripts for incoming graduate students for traditional and alternative licensure programs
- Assist students with developing academic plans for traditional and alternative licensure graduate programs
- Assist graduate students with course selection, degree requirements, academic policies, and records
- Communicate degree requirements and academic policies to graduate students and faculty
- Collaborate with faculty (within and outside the Education Division) and admissions office on processes, communication, and record keeping
- Assist with the development of advising resources promoting student success, enrichment, and retention
- Advise graduate students via phone, e-mail, Zoom, and in-person appointments
- Assist graduate students with course registration
- Prepare and maintains student files toward completion and licensure
- Maintain accurate records using various software

Qualifications
-
- Bachelor's degree (Education background preferred)
- Experienced in the use of (or skilled in learning) computer technology and software, preferably Microsoft Teams, Excel, Colleague and Slate
- Highly organized and detail-oriented for short-term and long-term projects
- Experience working with and analyzing data
- Strong communication and problem-solving skills
- Ability to maintain positive and productive relationships with faculty, staff and students
