POSITION SUMMMARY: This role is the operational backbone of Talent Acquisition-owning interview scheduling, pre-employment compliance, and onboarding execution with discipline and speed. You will coordinate interviews across all time zones, enforce scorecard completion, assist with management of background checks, assist with i9 completion / E-Verify, drive Day 1 readiness, and ensure state job board postings are accurate and timely. Operating within PAYCOR ATS, you will maintain data integrity and measurable progress across every hiring workflow.

  • Interview Scheduling & Candidate Coordination
  • Own end-to-end interview scheduling in PAYCOR ATS, coordinating candidates and interviewers across all U.S. time zones with precision and urgency.
  • Proactively schedule, reschedule, and recover missed interviews, minimizing disruption and protecting hiring velocity.
  • Serve as the central point of control for logistics: calendar invites, virtual meeting links, interview prep and confirmations. Create blocks in TEAMS and copy to templates in Paycor
  • Relentlessly follow up on outstanding interviewer scorecards in PAYCOR, enforcing completion timelines to enable timely, informed decisions.
  • Track attendance, no shows, declines, and reschedules; execute corrective follow-ups with candidates and interviewers to preserve momentum.
  • Enter, update, and maintain all interview activity, notes, scorecards, stages, and final dispositions directly in PAYCOR ATS, ensuring real time accuracy and audit ready documentation.
  • Validate interview stages and disposition codes in PAYCOR to support reporting, compliance, and seamless downstream onboarding.
  • Background Checks & Pre-Employment Compliance
  • Support the initiating and monitoring of background screenings (e.g., criminal, employment/education verification, motor vehicle records, drug screens where applicable) according to policy and jurisdictional requirements.
  • Partner with screening vendors to resolve discrepancies; escalate adverse findings per adjudication guidelines.
  • Safeguard PII and maintain FCRA aligned, audit ready records; coordinate with HR/Legal on exceptions and determinations.
  • I9 & E-Verify Administration (Work with HR Coordinator on the following)
  • Execute Section 1 and Section 2 of the i9 and process accurately and on time; perform reverifications as needed.
  • Open, track, and close E-Verify cases; promptly and lawfully resolve Tentative Non-confirmations (TNCs) and document outcomes per retention policy.
  • Onboarding Coordination (Work with HR Coordinator on the following)
  • Drive preboarding tasks: offer letters, welcome communications, credentials, and compliance forms; ensure Day 1 readiness (equipment, systems access, orientation scheduling).
  • Coordinate cross functionally with HR, IT, Payroll, Facilities to ensure frictionless handoffs and completion of required modules.
  • Serve as the candidate's primary point of contact from offer acceptance through start date, maintaining clear, professional communication.
  • Participate in, in-person orientation and onboarding at the Ashburn HQ office, when needed.
  • State Job Board & OFCCP Compliance Postings
  • Post and maintain requisitions on relevant state workforce/job boards to meet compliance and sourcing objectives.
  • Standardize posting templates, monitor expiration/refresh dates, and report on reach and traffic; ensure consistency between PAYCOR ATS and external postings.
  • Support veteran, disability, and community outreach programs through compliant distribution and tracking.
  • Process Excellence, Reporting & System Ownership
  • Maintain SLAs for scheduling, background check initiation (Checkr), I9/E-Verify completion, and onboarding readiness. Follow up on outstanding background checks to ensure the candidate completes by deadline.
  • Maintain weekly dashboards (e.g., OPS Spreadsheet, Contractor onboarding, scorecard completion, background check cycle time, I9/E-Verify compliance, and other metrics as needed).
  • Identify bottlenecks and implement improvements that reduce cycle time while elevating quality and compliance.
  • PAYCOR ATS stewardship: Own data integrity across interview stages, scorecards, dispositions, and reporting fields; serve as the point of contact for scheduling workflows and scorecard compliance. Make notes in newsfeed.


QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Education/Experience:


  • 2-4+ years in recruiting operations, HR coordination, or talent acquisition scheduling (high volume environment preferred).
  • Hands on experience with PAYCOR ATS or similar (Workday, Greenhouse, Lever, iCIMS) and background check platforms; working knowledge of I9/E-Verify.
  • Strong calendar management, stakeholder communication, and data accuracy skills with meticulous attention to detail.
  • Demonstrated ability to handle confidential information with discretion; familiarity with FCRA and basic employment law.



Preferred


  • Experience posting to state workforce/job boards and tracking compliance/refresh cycles.
  • Knowledge of multistate onboarding requirements; exposure to vendor management and SLA tracking.
  • Proficiency in Excel/Sheets for reporting; comfort with ATS dashboards and process documentation.



Certificates and Licenses:


  • Microsoft Office Suite, ATS exp (Paycor, Workday or related software).

Pay Range: $65,013 - $97,580 per year
